The Executive Assistant provides a diverse level of administrative support for 2-3 executives across the Wendy's Restaurant of Canada (WROC) Organization and our Wendy's International Organization. They may manage various projects, calendar, expenses, budget and travel for the executives and their departments. Coordinate and maintain effective office procedures in accordance with company policies.  Provide response to inquiries; manage meetings and correspondence with internal and external partners.  A high degree of professionalism is required in dealing with internal and external contacts as well as being a good team player.

While this position can be performed primarily remote, there is some travel expected to the Burlington area as needed.

Responsibilities

  • Develops, monitors, and revises executive’s schedule, coordinating busy travel schedules and booking travel. Interacts as liaison between executive and staff members/business associates by relaying information; coordinates programs; arranges meetings. Supports multiple leaders in the business with the above listed functions.
  • Quarterly / As Required: Arranges and plans corporate and franchise DMA meetings, International Development Days and International Capcom meetings as well as Executive functions and special events, including securing locations, composing, transcribing and distributing meeting notes, determining food and beverage menus, selecting entertainment/gifts and determining transportation logistics.
  • Creates/composes and edits memos, letters; researches and prepares presentation material. Compiles, inputs and tabulates data/statistics for reports.
  • Lead for onboarding of new Canadian employees and the lead for International Development new hires and onboarding.
  • Maintains sensitive and confidential issues and inquiries for executives, including personnel, wage, budget, and strategic information.
  • Maintain WROC franchise and other data basis, supports company communications
  • Fills out reports/expense vouchers for the assigned leaders; reconciles vouchers to credit card statements and make’s adjustments


What we expect from you

  • Minimum seven years of administrative experience, including three years of experience with executive-level management. Bachelor’s degree, bilingual preferred
  • Confident interacting and communicating with high-level executives, franchisees, Trustees
  • Possess excellent computer proficiencies including advanced MS Word, PowerPoint, Excel, Microsoft Outlook, TEAMS, Oracle Suites, ERP skills.
  • A high degree of professionalism, integrity and discretion; excellent judgment and superior written and verbal communication skills.
  • Think clearly and analyze problems of organization and management and take effective action.
  • Demonstrated success managing multiple and diverse tasks/projects; strong attention to detail and outstanding follow-through
  • Ability to work independently without significant assistance or direction; work under pressure and time constraints; handle changing priorities.

The base pay range for this position is listed below. The base pay actually offered will take into account internal equity and budget for the open position and also may vary depending on the candidate’s job-related knowledge, skills, and experience, among other relevant factors. This range does not include an estimated value for any benefits, bonus, or other incentives that may be applicable based on position. * The target annual bonus for this role is 7.5% of annualized base salary, based on actual company and personal performance.
