We are seeking an exceptional Executive Assistant to support Oxford’s SVP, Head of Canadian Investments. Your positive attitude, superior customer service, organizational, project management, and problem-solving skills will be key to your success.

You will be a key member and assist in supporting a Toronto based investments team of engaged, high-performing professionals—part of a world-class, winning culture that prioritizes people development, diversity and focuses on long-term growth. Key Responsibilities:
Calendar and Travel Management : Manage complex calendars, arrange travel across various time zones, book meetings domestically and internationally, and plan events.
Meeting Coordination : Coordinate regular and ad-hoc meetings and events (internal and external), including agenda development, meeting room reservations, and preparation and distribution of supporting documents.
Budgeting and Expense Management – Assist in the management and preparation of the investment team annual budget and quarterly reforecasts. Manage transaction invoicing and expense reimbursement processing for individual team members and team expenses.
Investment meetings : Prepare agenda and meeting materials, liaising with other teams and guests as required.
Relationship Building : Foster strong relationships across the organization, partnering with internal and external stakeholders.
Information Management : Manage proposals, inquiries, and the appropriate distribution and delegation of research.
Project Execution : Assist with projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem-solving, and adjusting plans as required.
Document Production : Create presentations, proposals, and other documents.
Culture Promotion : Promote a diverse and inclusive culture that prioritizes growth, development, and work-life balance.
Event Planning : Assist in planning team events and other activities.

Qualifications:
Experience : 5-10 years of experience supporting a senior-level executive / transaction-oriented professionals within a large and complex organization and fast paced environment
Education : Post-secondary education (college or university) is preferred.
Technical Skills : Superior MS Office skills and experience with digital tools such as MS Teams and SharePoint.
Organizational Skills : Ability to balance competing priorities and work independently with little to no direction.
Customer Service : Demonstrate superior customer service skills and a relationship builder mentality.
Fast-Paced Environment : Experience working in a fast-paced environment and acting as a liaison with internal departments.
Attention to Detail : Strong eye for detail when writing and editing business documents, communications, and presentations.
Confidentiality : Ability to work with highly confidential data with maturity and professionalism.
Communication Skills : Exceptional verbal and written communication skills.
Results-Driven : Drive to achieve results and continuously strive for high performance through creative thinking.
Adaptability : Thrive in dynamic organizations that constantly evolve and adapt.
