Position Overview

As a member of the Mining Support Team, the Administrative Assistant will report to the Superintendent, Mining and work a 2 weeks on / 2 weeks off schedule at the Ekati Diamond Mine. The Superintendent Mining will be responsible for the administrative functions within the Surface Mining and Mobile Maintenance Teams.

Job Duties/Responsibilities

  • Uploading inspections/audits into the system.
  • Review Training requirements and ensure information is current and up to date.
  • New employees on top of employee assessments – timelines.
  • Arrange Travel and make changes for personnel and assist to arrange over time coverage.
  • Working with the travel team to manage logistics around booking personnel in and out of site, depending on their rotation.
  • Action vacation and overtime requests for all personnel and tracking overtime and holidays.
  • Reviewing and entering records of Time related info, including overtime and vacation/leave bookings.
  • Assist in creation, formatting, documentation of processes or procedures for departments – formatting and document approvals.
  • Working in SAP, creating Purchase Orders and submitting approvals to accounts payable of vendor payments by entering service entry sheets based on materials received and contract labor completed.
  • Recording meeting minutes.
  • Creating excel spreadsheets and PowerPoint presentations if requested.
  • Other duties and administration for other groups, as assigned.

Education/Experience

  • Role appropriate post-secondary education.
  • Minimum of 2 years relevant experience.
  • Computer literacy, particularly Microsoft Office applications Excel and PowerPoint.
  • SAP experiences an asset.

The Company provides travel to and from the Ekati mine site out of Calgary, Yellowknife, and other northern fly points.
