Job Summary
We are seeking a proactive and detail-oriented Associate Facilities Specialist to support the day-to-day operations of our workplace, including space planning, furniture relocations, and vendor management. This role plays a key part in ensuring a safe, secure, and efficient environment through regular inspections, work order oversight, and on-call support, while also leading internal communications and providing backup for key operational and technical functions. The ideal candidate will be a strong communicator with a service-oriented mindset and can-do attitude, a true team player with versatility, capable of managing digital and traditional signage, supporting events, and maintaining content.

We are seeking a proactive and detail-oriented Associate Facilities Specialist to support the day-to-day operations of our workplace, including space planning, furniture relocations, and vendor management. Specific Responsibilities
Internal Customer Service
- Respond promptly and professionally to facility-related requests and concerns from employees, departments, and internal stakeholders, including work orders, space adjustments, and event support
- Collaborate closely with internal teams to meet workspace needs efficiently, including furniture relocations, signage updates, and AV/technology support
- Communicate proactively through newsletters, memos, and updates to keep staff informed about facility changes, safety protocols, and service schedules
- Demonstrate strong interpersonal skills and a service-oriented mindset while balancing multiple priorities and maintaining a high standard of support.
- Support the physical workspace to ensure it is functional, safe, and aligned with organizational needs
- Coordinate furniture relocations, manage vendor services using KPIs and SLAs, and maintain both digital and traditional signage
- Handle preventive and on-demand maintenance work orders, support procurement through Ariba, and ensure timely resolution of facility-related issues
- Act as a key liaison between internal teams and service providers to maintain operational continuity and workplace efficiency
- Provide support across all Facilities Management functions and serve as the primary back-up for Guest Services and the Mail Centre.
- Conduct regular inspections to ensure compliance with workplace safety standards and proactively identify potential hazards
- Maintain emergency preparedness protocols, support incident response, and ensure all safety equipment and signage are up to date and functional
- Monitor site access, support security inspections, and coordinate with security vendors or personnel as needed
- Stay informed on relevant regulations and best practices to ensure a safe and secure environment, including mandatory participation in the building’s on-call rotation.
- Draft and distribute internal communications such as newsletters, memos, and updates related to facilities, safety, and events
- Act as a liaison between departments, vendors, and leadership to ensure clear and timely information flow
- Support meeting organizers with content and logistics, and maintain digital signage to keep staff informed
- Apply strong written and verbal communication skills to manage expectations and promote a responsive, service-oriented environment.
- 1 year of experience in facilities operations or a related field
- Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment
- Excellent facilitation, interpersonal, and customer service skills
- Strong written and verbal communication skills
- Exceptional analytical and problem-solving abilities
- Ability to work independently and collaboratively within a team
- Capable of meeting deadlines, making sound decisions, and working well under pressure

- Demonstrated initiative and sound judgment in managing projects
- Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint).
- Demonstrated ability to communicate professionally, both verbally and in writing, with internal staff and external vendors/contractors
- Proven commitment to customer service excellence
- Joint Health and Safety Committee (JHSC) Certification
- Valid First Aid Certification.
- This position is based onsite (e.g., office, warehouse, or facility setting)
- Ability to stand for up to eight hours during a shift
- Ability to lift up to 50 pounds as needed.
