Job Description

We are looking for a detail-oriented and proactive Project Operations Specialist to join our team on-site in Markham Ontario, Canada. In this role, you will support the smooth execution of R&D projects by maintaining accurate data, managing purchase and shipping logistics, and ensuring the timely delivery of project updates and prototypes. This is an exciting opportunity to work in a fast-paced, collaborative environment where your organizational skills will have a direct impact on project success.

Key Responsibilities


  • Keep project-related data organized and up to date, including Excel trackers, Jira boards, and sprint documentation
  • Monitor project timelines, noting dependencies, potential technical risks, and team performance metrics
  • Run status reports, check for data consistency, and highlight any irregularities or issues
  • Follow through on action items discussed in Design Reviews, Technical Reviews, and team sync meetings
  • Create and manage purchase requisitions as needed
  • Maintain complete and organized documentation of all procurement steps, including quotes, approvals, POs, deliveries, and invoices
  • Track delivery timelines by coordinating with suppliers and sourcing departments
  • Prepare required documents for both domestic and international shipments
  • Collaborate with internal logistics teams to determine the best shipping methods
  • Oversee the delivery of prototypes to R&D teams located across different sites
  • Monitor shipments in transit and handle customs issues when they arise
  • Keep thorough records of how and where prototypes are distributed and used by various teams


Profile Requirements


  • Bachelor’s degree in Business, Project Management, or Engineering
  • Agile certification is a plus
  • 1–2 years of experience in a project coordination or project support role
  • Familiarity with project management tools (Jira, Jira Align, Microsoft Project, Confluence)
  • Experience with ERP systems (SAP, Oracle, Oscar or similar)
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Excellent organizational, multitasking, and communication skills
  • Basic understanding of Agile, Scrum, SAFe, or Waterfall project methodologies
