As they scale rapidly, they are looking for an Operations and Executive Assistant to play a pivotal role in maintaining operational excellence and supporting the leadership team.

Responsibilities

Executive & Administrative Support

  • Manage executive and team calendars across time zones, ensuring seamless scheduling.
  • Triage leadership inboxes, draft responses, and track follow-ups.
  • Coordinate travel logistics including flights, accommodations, and itineraries.
  • Support recruiting efforts through candidate sourcing, interview scheduling, and onboarding logistics.
  • Prepare invoices, customer quotes, and assist with document organization.

Operations & Office Management

  • Oversee virtual office operations including inventory tracking and vendor coordination.
  • Manage incoming communications, including emails, phone calls, and mail.
  • Maintain internal systems, including file organization and office supply procurement.
  • Organize company events and support internal coordination across functions.

Financial Operations

  • Process payroll, contractor payments, commissions, and vendor invoices.
  • Track and reconcile expenses using tools such as Gusto, Brex, or QuickBooks.
  • Prepare financial reports, including monthly and quarterly budget summaries.
  • Manage AR/AP workflows and respond to finance-related inquiries.

Requirements

  • 2+ years of experience in operations, executive assistance, or finance administration.
  • Strong command of task and calendar management tools (e.g., Asana, Google Calendar, Trello).
  • Financial literacy and comfort with spreadsheets and tools like Stripe, Gusto, or QuickBooks.
  • Highly organized with exceptional time management and multitasking skills.
  • Excellent written and verbal communication skills (C1 English or higher).
  • Calm and composed under pressure, with a proactive and solution-oriented mindset.
  • Ability to manage multiple stakeholders and maintain a high standard of professionalism.
  • Comfortable working independently in a remote environment.
