Responsibilities
Executive & Administrative Support
- Manage executive and team calendars across time zones, ensuring seamless scheduling.
- Triage leadership inboxes, draft responses, and track follow-ups.
- Coordinate travel logistics including flights, accommodations, and itineraries.
- Support recruiting efforts through candidate sourcing, interview scheduling, and onboarding logistics.
- Prepare invoices, customer quotes, and assist with document organization.
- Oversee virtual office operations including inventory tracking and vendor coordination.
- Manage incoming communications, including emails, phone calls, and mail.
- Maintain internal systems, including file organization and office supply procurement.
- Organize company events and support internal coordination across functions.
- Process payroll, contractor payments, commissions, and vendor invoices.
- Track and reconcile expenses using tools such as Gusto, Brex, or QuickBooks.
- Prepare financial reports, including monthly and quarterly budget summaries.
- Manage AR/AP workflows and respond to finance-related inquiries.
- 2+ years of experience in operations, executive assistance, or finance administration.
- Strong command of task and calendar management tools (e.g., Asana, Google Calendar, Trello).
- Financial literacy and comfort with spreadsheets and tools like Stripe, Gusto, or QuickBooks.
- Highly organized with exceptional time management and multitasking skills.
- Excellent written and verbal communication skills (C1 English or higher).
- Calm and composed under pressure, with a proactive and solution-oriented mindset.
- Ability to manage multiple stakeholders and maintain a high standard of professionalism.
- Comfortable working independently in a remote environment.
