Job Summary
The Logistics Manager is responsible for leading all aspects of inbound and outbound logistics for perishable produce and dry good shipments. This role manages transportation operations, carrier and broker relationships, freight cost and rate negotiations, claims processing, and regulatory compliance, including import/export and customs requirements. The position also oversees internal logistics staff, develops schedules, conducts performance evaluations, and ensures timely delivery and receipt of goods with a focus on cold chain integrity and operational efficiency.
Duties And Responsibilities
- Directs and manages daily transportation activities for both inbound and outbound freight, including dispatch, routing, and appointment scheduling.
- Coordinates movement of perishable goods from suppliers, growers, and vendors to warehouses or facilities.
- Ensures timely delivery and pickup, secure load handling, and proper reefer operation.
- Manages inbound logistics, including coordination with growers, importers, and freight forwarders.
- Ensures receipt schedules are aligned with production and inventory planning.
- Tracks all inbound shipments for ETAs, temperature compliance, and document completion (e.g., customs paperwork, BOLs, and phytosanitary certificates).
- Establishes and maintains a qualified carrier base, including refrigerated LTL and FTL providers.
- Negotiates and manages transportation contracts and rate schedules.
- Tracks and enforce carrier performance KPIs (on-time, communication, temperature control, and compliance).
- Oversee customs clearance processes for imported produce, working with customs brokers and regulatory agencies.
- Ensures compliance with all applicable USDA, FDA, and CBP (Customs and Border Protection) regulations.
- Coordinates required documentation, including customs declarations, import permits, and certificates of origin.
- Maintains up-to-date knowledge of relevant trade laws, tariffs, and international logistics procedures.
- Leads the investigation and resolution of all transportation claims, including overages, shortages, damages (OS&D), temperature issues, and late deliveries.
- Manage documentation, submission, and settlement with carriers and insurance providers.
- Reviews and analyzes freight spending to identify cost-saving opportunities while ensuring service quality.
- Maintains lane pricing databases and develops freight cost forecasting models.
- Staff Management and Scheduling
- Supervises the transportation team, including dispatchers, logistics coordinators, and clerical support.
- Develops and manage staff schedules to ensure full operational coverage.
- Provides coaching, training, and performance reviews in accordance with HR policies.
- Conducts regular staff evaluations, goal setting, and corrective action when needed.
- Ensures company compliance with MTO, DOT, FMCSA, USDA, and food safety regulations.
- Audits transport documentation including Bills of Lading, Proof of Delivery, Reefer Logs, and seal records.
- Maintains complete shipment records and ensures alignment with internal SOPs.
- Serves as liaison between transportation, warehouse, procurement, and sales teams.
- Collaborates with the import/export compliance team to address customs holds, inspections, and document discrepancies.
- Utilizes Transportation Management Systems (TMS) and ERP tools for shipment tracking, planning, and analysis.
- Provides management reports on transportation KPIs, claims, and carrier scorecards.
- Direct supervision of transportation operations personnel.
- Responsible for hiring, training, performance reviews, and discipline.
- Ensures staff are held accountable to standard operating procedures and safety policies.
- Other core expectations as defined by the company.
- Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field preferred.
- Minimum five (5) years of transportation management experience, including perishable goods and/or import/export logistics.
- Experience in customs clearance, international shipping, and FDA/USDA compliance strongly preferred.
- Skills and Competencies
- Strong leadership, negotiation, and interpersonal skills.
- Knowledge of cold chain logistics and reefer transportation.
- Understanding of customs processes, Harmonized Tariff Codes (HTC), and free trade agreements.
- High proficiency in Microsoft Excel, TMS software, and supply chain platforms.
- Office-based with frequent interaction in warehouse and refrigerated environments.
- On-call availability for time-sensitive shipment issues or customs holds.
- Ability to work at a desk using a computer.
- Occasional lifting and warehouse walk-throughs (cold or ambient).
