Key Responsibilities
Purchasing Process:
- Support the establishment and daily function of a centralized purchasing desk model.
- Review and process RFPOs (Request for Purchase Orders) submitted by site and field teams.
- Validate submitted information, check against project budgets in the Job Cost (JC) system, and apply correct coding before issuing POs.
- Match requests against pre-approved supplier inventory or pricing agreements when applicable.
- For non-inventory or new items, assist in vendor sourcing and ensure best available pricing is obtained.
- Collect and compare a minimum of three bids from vendors as part of the vendor selection and pricing validation process.
- Submit budget revision requests when applicable for non-budgeted items.
- Ensure approved POs update JC committed costs in real-time; assist with monthly review of open POs with Project Managers.
- Collaborate with Accounting to support invoice matching and PO closure.
- Contribute to the development of a standard inventory database with pre-approved suppliers and up-to-date pricing.
- Track and log all pending change order requests in Acumatica.
- Ensure complete and accurate data is submitted for each change order.
- Assist with weekly and monthly change order reviews with Project Managers and VPs.
- internal inquiries regarding purchase order status, order tracking, or procedural guidance.
- 2+ years of experience in an administrative or purchasing support role.
- Construction knowledge is a strong asset
- Experience working with purchasing or ERP systems (Acumatica experience is an asset).
- Strong organizational and record-keeping skills.
- Detail-oriented with strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
