Location: This hybrid role requires 3 days on-site at our Burnaby, BC office or Distribution Centre and 2 days remote per week. In-person requirements may increase at our Distribution Centre during peak season.

Salary: $60,000 - $70,000

Actual compensation within the range will be based on experience. We also offer quarterly variable compensation package (bonus) + benefits.

What You’ll Do

The Supply Chain Administrator will provide first-class support for the Supply Chain team at our Support Office and Distribution Centre, located in the Vancouver area. The Supply Chain Administrator plays a key role in making sure that the Canadian Supply Chain team has visibility over their function and is able to move product through the Distribution Centre seamlessly. By delivering inventory reporting and inventory management support for the Canadian Supply Chain team at Specsavers Canada, you will be ensuring that we are able to provide the efficient and excellent service that our customers have come to expect.

Key Responsibilities

Operations Support

  • Monitoring of daily order file loads and collaborating with fulfilment centre and the IT support team on resolution of load failures.
  • Work alongside the fulfilment centre and the CS team to proactively monitor outstanding orders, arrangement of trials to customers if necessary and customer’s communications.
  • Identify potential product supply problems and work together with local and global product and supply team to proactively resolve issues.
  • Manage the escalation and communication process of faulty products to vendors and global supply team.
  • Manage monthly products returns to vendors and fulfilment centre.
  • Assist fulfilment centres and CS team with day-to-day order queries, cancellation, and address amendments.
  • Review operational processes with a view to improving efficiencies. Produce and maintain ad-hoc supply chain reporting for use across the function.
  • Maintenance of local Supply Chain inventory data files.
  • Assist with supply chain inventory data analysis.
  • Provide support to the Demand Planning Team through inventory reporting processes.
  • Providing other Supply Chain reporting as required.

Inventory Management Support

  • Provide administrative support to facilitate Purchase Orders with vendors as required and ensure seamless operations from purchasing, delivery, receipt, reconciliation, and payment for inventory.
  • Ensure accurate record keeping of shipping information, payments, and other relevant records.
  • Prepare usage reports on a daily/weekly/monthly basis.
  • Infor M3 (WMS system) SME responsible for maintenance of data within the WMS system.
  • Working with the Product Team and Data team to ensure integrity of data within WMS system.
  • Assist with adding/removing SKUs from the WMS system and raising IT request form for support.
  • Work with fulfilment centre and IT to ensure products availability in the WMS system for fulfilment.
  • Work with group product category teams to understand future requirements.
  • Collaborate with Product Team and CRM for customer’s communication.
  • Perform system testing as required.
  • Other duties and responsibilities as required.

Essential

What We’re Looking For

  • 3+ years experience in an administrative, reporting or analytics role.
  • Customer-focused and highly organized; genuinely enjoys answering questions and solving problems through an effective and creative approach.
  • IT literate, with advanced knowledge of Microsoft Excel, and with reporting and data handling skills.
  • Demonstrated capacity to determine priorities, meet strict deadlines and effectively balance competing demands and the ability to work under pressure both independently and as a member of a team.
  • Excellent written, verbal and interpersonal communication skills with the ability to prepare and present reports and documentation of high quality and the capacity to deal with a wide range of clients and staff.
  • Demonstrated capacity to exercise sound judgment, initiative, diplomacy, tact and discretion and proven ability to handle information, and materials in a confidential and appropriate manner.
  • Demonstrated team player with an ability to develop to team leader skills and mentor teams.

  • Experience within an Optical environment.
  • Experience within a Supply Chain environment.
  • Experience with warehouse management systems
  • Experience with Power BI
