Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant. This role is essential to ensuring the smooth and efficient operation of our office, while also providing support to the Estimating team. The ideal candidate will be able to manage multiple priorities and have strong interpersonal skills in interacting with all levels of the organization.

Responsibilities

  • Manage reception duties and daily office operations.
  • Schedule and coordinate meetings, travel arrangements and prepare expense reports for senior executives.
  • Prepare agendas, take meeting minutes, and track action items to ensure follow-up.
  • Handle basic bookkeeping duties such as accounts payable and receivable and the reconciliation of accounts.
  • Provide support on administration of PO’s, CRM, expense forms.
  • Coordinate corporate events and organize promotional merchandise and maintain inventory.
  • Oversee the maintenance of office facilities and equipment and maintain inventory of office supplies.
  • Provide support to the safety team with the procurement of safety supplies, documents, etc.
  • Assist in ensuring compliance with health, safety, and company policies, maintaining up-to-date records for internal audits.
  • Support all aspects of the business and maintain the highest level of confidentiality.
  • Other duties as assigned

Requirements

  • Office Administration certificate or Business Administration degree/diploma preferred.
  • Minimum of 3 years of experience in an executive assistant or office administration role, preferably in the construction industry.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills with the ability to prioritize changing priorities.
  • Strong verbal and written communication skills.
  • Ability to work independently and in a team environment.
  • Excellent problem-solving skills and attention to detail.
  • Able to successfully meet pre-employment conditions including A&D test, Criminal Record Clearance and Credit Check.
