TEMPORARY SECRETARY (D) Co-Instructional Activities & Extended Day Program Education Centre

The successful applicant for this Temporary Educational Support Staff position, Level D will be working 35 hours per week, 12 months per year effective effective Sep 2/25 to Dec 19/25 with a possibility of extension.
Responsibilities
- Provide general secretarial duties for co-instructional activities and the extended day program, including but not limited to: booking facilities, arranging bus transportation, entering PD sessions into PD Place, organizing PD sessions including registration and attendance, typing reports, minutes, meeting agendas, minutes, letters, memoranda, and rule changes;
- Respond to telephone calls and perform reception duties;
- Assist with the scheduling of areas for co-instructional programs (including cancellation and re-booking of ice times after the master program has been established;
- Assist in the DECE staffing process including but not limited to: arranging feedback files for DECE applicants, booking rooms for interviews and orientations, and assisting with securing occasional staff for fail to fill work assignments;
- Maintain good public relations with community partners, families and staff;
- Maintain and update the Co-Instructional Activities and Extended Day budgets;
- Review and process all purchase orders and invoices;
- Ordering of supplies as required; create P.O. requisitions and track orders in K212; and
- Perform other duties as required.
- Office Administration Diploma (2-year diploma program)
- A minimum of 2 years in a public education setting, or equivalent administrative experience in the office skills required on a daily basis in a public education system;
- Excellent computer and word processing skills are required;
- Extensive experience, knowledge and use of Microsoft Word and Excel in a Windows computer environment are required;
- Experience and knowledge of Gsuite is required;
- Extensive experience and knowledge of K212, Trillium and Microsoft PowerPoint would be an asset;
- Ability to work as a flexible team member;
- Excellent interpersonal skills;
- Excellent organizational, time management and problem solving skills with attention to detail; and
- Ability to complete assigned duties with minimal supervision and problem solve situations as they arise; and ability to communicate effectively in both oral and written forms. Applicant Self-Identification Form
