With an Executive Team of 7 we are looking to expand our support functions to include a skilled Executive Assistant that can lend support the Senior Executive Team and assist to enhance their efficiency and effectiveness.

Responsibilities:
- Utilizing financial prudence, plan, recommend and secure complex travel arrangements for the entire company including, flight, hotel and rental vehicles.
- Manage complex and constantly changing calendars, schedule and recording meetings, and appointments.
- Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes.
- Participate in meetings and learning events, engage in team initiatives and projects, and provide short-term backup support for colleagues.
- Serve as the point of contact for general communications, screening phone calls, emails, mail, and visitors; route and resolve information requests.
- Document management: conduct research; prepare correspondence, expense, and statistical reporting; create reports and presentations.
- Prepare and edit information for presentations and reports.
- Manage various databases.
- Research and organize data to represent senior management, which may include directors, executives, and committees.
- Prepare and submit detailed expense reports; reconcile complex statements.
- Event planning: Engage in planning for corporate events including staff holiday parties, summer picnics, and various other employee events.
- Use technical tools and software such as Microsoft Office Suite, specifically Word, Excel, and Visio.
- Act as a virtual assistant and perform other duties as required.
- Participate in executing experiential company events (ie. Holiday luncheon, winter gala, small conferences and or workshops etc.)
- Degree in business administration or equivalent is preferred
- Minimum 2-3 years of Executive Assistant experience
- Experience securing travel arrangements
- Strong verbal and written communication skills
- Comfortable with routinely shifting demands
- Exceptional degree of attention to detail
- Working knowledge of general office equipment
- Strong critical thinking skills are imperative
