POSITION PURPOSE
Use strong time management and organizational skills to assist the Supervisor and manage all incoming workflow within PP/Safety on a day to day basis. Distribute and manage work fairly to team. Understand and be able to perform each task in order to assess and manage time. Assist Pre-Production Supervisor with planning as workload changes and bringing concerns and changes to their attention on an ongoing basis.

Be a role model to the team by ensuring the department and workstations are always tidy and organized.

Validate and Process all orders including safety for the various customer groups and contracts. This includes order entry, frame ordering, frame stock management, returns, communications with accounts on orders, delays, or any questions and concerns related to their orders and Hoya products, and month end statement reconciling.

Working with and supporting other team members to discuss issues, provide feedback, and seek help where needed.

The Hoya PP Team Lead handles external and internal customer inquiries (Safety) and concerns with the highest degree of patience, courtesy and professionalism .

MAJOR DUTIES AND RESPONSIBILITIES

  • Support PP Supervisor on daily workflow planning within Data Entry team
  • Oversee and support Safety team daily with full circle process of safety orders, redos etc.
  • Handles “higher level” customer calls needed. (order taking, work in process or other questions)
  • Handles communication between Hoya and Associations if/when needed
  • Follows scripting, or other professional communication as required by HOYA
  • Understands and follows all SOP for all tasks
  • Understands and utilizes all methods of job tracking or late job follow up and communicates as required.
  • Good working knowledge of DVI screens; competently processes all types of redo, credits, add notes, cancel jobs, tray change, account changes, etc.
  • Able to identify in house vs. outsource lab orders, and transmits accordingly
  • Understands Eyesafe/Iris/SECP and other safety ordering systems
  • Validates orders against contract availabilities and company specific allowances
  • Displays a solid understanding of basic and some advanced optical knowledge
  • Trouble shoots complex problems (cut out issues, coating incompatibility, thickness or base curve requirements
  • Picks orders from inventory, tracking inventory that is pulled and going back into stock to maintain accurate inventory records – annual reconciliation of stock counts
  • Orders frames from suppliers where needed
  • Deliver new orders, frames or lenses, to the next workstation with sense of urgency and prioritization
  • Identify urgent or problem jobs and make appropriate communications, verbally and/or electronically, and/or using standardized stickers or forms.
  • When necessary, use web access links to look up incoming or delayed shipments from outsource labs, in order to plan workflow.
  • Accurately attach patterns, verify patterns and quality of trace/ shape modification.
  • Ensures month end statements are reconciled.
  • To divide work/duties evenly within the team as well as rotation of routines to enable all members to be competent in all actions
  • Sending frames out to outside labs and administrating/checking jobs coming in before relating it to QA for final checks

    • Work produced is subject to precise measures of quantity and quality.
    • Near vision and sharp focus to adjust vision when doing close work.
    • Occasional lifting/ carrying 10lbs or less, pushing/ pulling 30lbs or less.

    REQUIRED EDUCATION, SKILLS AND QUALIFICATIONS

    • Strong Organization and Time management
    • Customer Service experience
    • Strong computer skills
    • Data entry experience an asset.
    • Optical background helpful
