SCOPE OF THE POSITION
The Senior Project Manager will lead Pharmaceutical New Product Introduction (NPI) projects, ensuring seamless execution from initiation through market launch. This key role is responsible for end-to-end project success — from project charter development, CMO onboarding, and regulatory submissions to Health Canada, to production oversight and commercial launch.
The Project Manager will collaborate with cross-functional teams and CMO partners to deliver projects on time, within budget, and to the highest quality standards. Responsibilities include managing the project portfolio, overseeing timelines, budgets, risks, and quality control, and driving alignment with business objectives through effective communication and stakeholder engagement.
Act as a change agent, fully supporting the Head of PMO's vision by driving change, process optimization, and continuous improvement initiatives.
KEY RESPONSIBILITIESProject Management
- Drive Project Execution: Lead high-priority NPI projects, managing a high-volume project portfolio (10+), achieving on-time, high-quality product launches and department objectives.
- Comprehensive Project Planning: Develop and manage a detailed Project Charter and project plan, ensuring key milestones are clearly defined and aligned through collaboration with internal stakeholders. Drive on-time, on-budget project delivery by coordinating due diligence activities and ensuring compliance with internal tracking and reporting standards.
- Project Leadership and Risk Management: Lead cross-functional project meetings, facilitate problem-solving during execution, proactively identify, assess, and mitigate risks to minimize impacts on quality, revenue, timing, and costs, and develop risk-based recommendations to ensure project success.
- Stakeholder Management and Meetings: Lead the planning and execution of project meetings, define clear agendas, capture minutes, and drive follow-up actions to ensure cross-team alignment, accountability, and effective stakeholder engagement, enabling on-time project delivery.
- Cross-Functional Coordination: Led project execution by aligning tasks and timelines across Finance, Business Development, Research & Development, Regulatory Affairs, Quality Assurance, Lab Operations, Marketing, Sales, and Supply Chain, ensuring seamless collaboration and on-time delivery across all phases of the project.
- CMO Relationship Management: Act as the primary liaison with global CMO partners, driving milestone adherence, resolving operational issues, strengthening collaborative relationships through site visits as needed, and facilitating seamless communication throughout project execution.
Operations Planning and Business Support
- New Product Onboarding & Prioritization: Facilitate the onboarding and prioritization of new product launch opportunities in collaboration with Business Development, R&D, and Acquisitions, ensuring alignment with strategic objectives and business goals.
- Portfolio Performance Tracking: Deliver monthly updates on portfolio performance, including investment, cycle times, revenue, and benchmarking against targets to drive continuous improvement.
- Operational Support: Collaborate with cross-functional teams on pipeline reviews, SKU rationalization, contract due diligence, CMO sourcing, onboarding, and financial forecasting updates to ensure alignment and operational efficiency.
Project Management & Continuous Improvement
- Support and Align with PMO Leadership: Act as a change agent, fully supporting the Head of PMO's vision to drive process improvements and support management initiatives across the PMO and cross-functional teams.
- Identify & Prioritize Key Initiatives: Collaborate with cross-functional teams to identify, prioritize, and drive process improvement initiatives that enhance overall project management efficiency, directly contributing to improved business performance and operational efficiency.
- PMO Tool Optimization: Standardize and optimize project management tools (e.g., Smartsheet), streamline workflows, enhance training resources, and drive knowledge sharing through best practice sessions.
- KPI Tracking and Reporting: Develop and maintain KPI dashboards to monitor project performance and enable data-driven decision-making.
- Lessons Learned: Lead post-project reviews to refine project management practices and drive continuous learning and improvement.

EDUCATION AND EXPERIENCE
- Bachelor’s degree in business administration, Life Sciences, Pharmacy, Engineering, or related discipline required.
- 5+ years of experience managing pharmaceutical NPI projects, successfully overseeing a portfolio of 10+ concurrent, complex projects at various stages. Expertise in Sterile Injectables, generics pharmaceuticals, and pharmaceutical contract manufacturing (CMO) highly preferred.
- PMP Certification is required
- Combined project management experience with expertise in Regulatory Affairs, Quality Assurance, Marketing, or Supply Chain strongly preferred.
- Experience in managing cross-functional teams, including R&D, Regulatory Affairs, Marketing, and Supply Chain, in multi-cultural, multi-lingual global working environments.
- Proficient in Windows, MS Office (Word, Excel, PowerPoint), MS Project or Smartsheet, Visio, and SAP (PO Management).
