This role supports a team of specialized physicians by coordinating a variety of administrative tasks, contributing to a high-performing, patient-focused environment committed to service excellence and operational efficiency.
Duties may include but are not limited to:
Administrative Support:
- Manage patient referrals, appointment scheduling, medical records, and required testing
- Coordinate physician calendars, travel, and general correspondence
- Support research administration, including data entry, and document preparation
- Maintain and update digital systems, including EMRs and internal databases
- Serve as a key point of contact for patients and stakeholders, managing phone and email inquiries professionally
- Foster a welcoming, empathetic, and efficient patient experience
- Maintain discretion when handling confidential medical information
- Collaborate with multidisciplinary teams to support operational needs
- Demonstrate initiative in improving administrative workflows and efficiency
- Support organization-wide initiatives as needed
The successful candidate will have the following:
Required:
- Diploma in Medical Office Administration or an equivalent combination of education and experience
- At least 5 years of experience in a medical office or hospital setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational, interpersonal, and communication skills
- Demonstrated ability to work independently and manage competing priorities
- Knowledge of medical terminology and healthcare procedures
- Strong professionalism, discretion, and problem-solving capabilities
- Experience with EPIC or other electronic medical record systems
- Work Arrangement: 100% Onsite
- Hours: Monday to Friday, 8:00 a.m. – 4:00 p.m. (37.5 hours per week)
- Salary: $50,310 annually
- Duration: Permanent, full-time
- Benefits: Medical/dental benefits (after 3 months), 2 weeks vacation, HOOPP pension plan (starting Day 1)
- Vaccination Policy: Proof of two doses of COVID-19 vaccine required
- Clearance: Criminal record check required
- Parking: Paid by employee
