Your area of focus.

We are seeking an experienced Reconditioning & Administrative Assistant to join our accounting department on a full-time basis in this contract position. Reporting to the Controller and UCD manager, you will be responsible for facilitating a wide variety of accounting and administrative activities. The successful individual will be self-motivated and dependable. An ideal candidate will be able to adapt to the various speeds and demands of a dealership.

What drives your day-to-day?

  • Perform basic accounting tasks, process purchases and refunds
  • Generate daily transaction reports and prepare the documents for bank deposits.
  • Scan all needed receipts and documents for record-keeping purposes
  • Develop and maintain updated filing system
  • Assist in the preparation of regularly scheduled report
  • Accurately input, update and maintain data in vAuto, IOL, Deskit and other company systems to make them more efficient.
  • Ensure all needed documents and information for the CPO / Used Vehicle file is at place including folder write-ups, Carfax, and tags.
  • Provide support in editing missing descriptions both in IOL and in vAuto
  • Update vehicle prices in vAuto
  • Communicate through other dealerships to gather necessary information such as warranty start date and safety open recall
  • Save all scanned documents in a designated google drive
  • Set to display Hot List Units on the Hot List page website on a monthly basis
  • Cover the reception desk as per schedule and as needed.
  • Greeting visitors, clients and staff
  • Answering phone calls and directing them to the appropriate person or department.
  • Prepare and submit Co-op Claims for both Certified Pre-Owned and New Cars
  • Advertising costs on a monthly basis and Certified Service on a semiannual basis.
  • Gather all Co-op Invoices from different areas of Advertising and the additional creative support required.
  • Generate Performance Metrics Report on a weekly, monthly and yearly basis.

What Are The Must-haves…

  • A high school diploma or equivalent
  • Minimum 1-2 years of experience in bookkeeping or administration
  • Previous experience in the automotive industry is an asset
  • Ability to drive all types of vehicles including trucks
  • Proficiency in Microsoft Office Suite (Excel, Word, Teams)
  • Proficiency in Google Drive applications
  • Exceptional written and verbal communication skills
  • Strong organizational and time management skills, handling multiple priorities, performing a variety of tasks and meeting tight deadlines
  • Strong attention to detail and accuracy
  • Willingness to learn
  • Ability to work both independently and as part of a team
