TrendMicro.com Location: This is a hybrid role located at our office in Ottawa, ON Position Summary: We are looking for an experienced HR professional with a natural curiosity and desire to support a dynamic HR organization, in the role of HR People Operations Specialist The HR People Operations Specialist will be responsible for providing support and guidance with programs, policies, and procedures for the Americas HR team. The position will work closely with HR Partners, Business stakeholders and employees Key Responsibilities:
  • Manage end-to-end onboarding process to include preparation for new hire orientation and ensuring all required documentation is complete and properly updated in HRIS
  • Manage off-boarding process to include conducting exit interviews
  • Manage recruitment cycle to include, but not limited to:
    • Posting job requisitions, coordinate interview scheduling, oversee hiring and selection materials, manage offers, conduct background checks and I-9 verifications
    • Timely follow up with candidates throughout the recruiting, hiring, and onboarding process
    • Partner with hiring managers; instruct and guide hiring managers and candidates through the various recruiting stages
    • Support vendor management of 3rd party agencies
  • Prepare or maintain employment records related to events, such as hiring, termination, leaves, transfers, or promotions, updating HRIS accordingly
  • Provide guidance and expertise to employees regarding applicable policies, procedures, and programs
  • Manage compliance requirements: Ensuring compliance with applicable policies, procedures, laws, and regulations
  • Support reporting requirements, leveraging Workday to provide headcount and other data required to support various programs and annual audit requests. Ability to analyze data
  • Draft communication materials regarding new and updated policies and processes
  • Monitoring and management of HR inboxes. Respond to employee inquiries in a prompt and professional manner
  • Provide guidance, and support related to visas, green cards, citizenship, and other immigration-related matters, to include completing required documents and communicating updates effectively between employees and Immigration Counsel
Qualifications/Requirements:
  • Bachelors’ Degree; HR certification strongly preferred
  • Minimum of 4+ years’ experience in a dedicated HR Support role
  • Exceptional written and verbal communication skills, with the ability to clearly convey complex information to all levels of the organization
  • Ability to make fine visual distinction upon proofreading written documents
  • Ability to interpret and explain human resources policies, procedures, laws, standards, or regulations
  • Strong customer service orientation, with an emphasis on responsiveness and resolving employee inquiries efficiently
  • Strong understanding of HR principles and practices and familiarity with employment laws
  • Experience processing employment visas (F1, H1B, Work Permits, etc.)
  • Strong HRIS experience, Workday strongly preferred
  • Excellent PC skills, including advanced Excel skills. MS Office (Word, Excel, Outlook)
  • Strong attention to details, and the capacity to manage multiple priorities simultaneously
  • Self-directed and persistent follow through on all assignments, proven ability to meet deadlines
  • Strict confidentiality of employee and company data
  • Collaborative and flexible approach to all team duties and support
