WHAT WE'RE LOOKING FOR

We are looking for a Facilities and Maintenance Coordinatorto help manage communication and administrative processes on all CapEx-related projects.

This position will be based out of our Fraser Headquarters in Toronto.

WHAT YOU'D BE DOING IN THIS ROLE

  • Support the DECIEM’s Global Facilities department, and the Senior Manager, Facilities, with coordinating all CAPEX and maintenance-related activities across our international network of assets – Offices, Retail, Warehouses / Distribution Centers etc.
  • Attend project coordination sessions with multidisciplinary stakeholders, aimed at prioritizing execution strategy for all active Facilities-related CAPEX projects and work orders.
  • Support and facilitate the vendor qualification and project tender processes with the support of the Senior Facilities Manager, to ensure fair market comparison on all facilities-related projects, preventative services, and FF&E procurement. Ensure that relevant vendors are set up in ISN, our contractor qualification platform
  • Takes initiative to monitor incoming work orders, follow up with vendors to complete delinquent or unfinished jobs as reported by field teams across all assets as required
  • Assists with supporting the Senior Manager, Facilities, with resolving and reconciling emergencies that may arise across our Global Facility network. Be available to handle after-hours emergencies remotely as needed
  • Support with occasional facility audits in conjunction with Senior Manager and on site teams
  • Reviews project budgets, leases, construction and maintenance contracts, and financial invoices for accuracy and administration
  • Support with vendor coordination by raising purchase requisitions and orders via D365

SKILLS AND QUALIFICATIONS NEEDED TO GET THE JOB DONE

  • Ability to work cross-functionally with multiple internal and external project stakeholders – the successful candidate must be able to leverage relationships to gain consensus and drive the momentum of active projects
  • Exposure to end-to-end CAPEX development process – from real estate, to design and development, to construction management, to project close-out
  • Excellent interpersonal and communication, and organizational skills
  • Working knowledge of PC applications, including Word, Excel, PowerPoint, and Outlook. Experience with Facilities Management Software a plus, e.g,. Air Table, Pro-Core, MS Project
  • 2- 4 years of Facilities Coordination experience. Construction Project Management and Coordination experience is also relevant. International/Global experience is an asset.
