The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.

Job Overview

We are seeking a dedicated and detail-oriented Talent Acquisition Coordinator to join our team. The successful candidate will support the recruitment process and provide program support to ensure a seamless experience for candidates and stakeholders. This role requires a proactive individual with strong organizational skills and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities

Recruitment Support:

  • Manage the Talent Acquisition (TA) Coordinator role in Workday, ensuring efficient recruitment processes.
  • Update the Talent Acquisition Team SharePoint site and ELink as requested.
  • Run regular reports in Workday for statistical reporting purposes for TA leadership.
  • Initiate and coordinate pre-employment background checks, including medicals, criminal checks, and drivers abstracts.
  • Process medical checks, track, and report on candidate status to ensure new employees fulfill their conditions for employment.
  • Create and post job advertisements on internal and external websites using Workday and manually as needed.
  • Schedule interviews and book travel arrangements for candidates as requested.
  • Collaborate with candidates and HR areas (Advisory Services, Benefits, Talent Management, Payroll) regarding recruitment processes and issues.
  • Provide Recruitment/Relocation/Immigration administration support by sending relocation initiation documents to HR Mobility.
  • Verify and enter onboarding details for successful candidates in Workday.
  • Troubleshoot recruitment process issues with candidates.

Program Support

  • Coordinate career fairs, including registration, inventory management, and collaboration with stakeholders (Public Relations, Diversity).
  • Provide end-to-end recruitment support for New Grad and Student Programs.
  • Assist with Cobra testing coordination for Control Center Operations.
  • Track and send Enbridge rings to People Leaders for new hires.

Individual Specific Accountabilities

  • Manage a tracking spreadsheet for recruitment activities (BackChecks, Job Postings, Offers).
  • Communicate with Accounts Payable regarding invoice processes and payments for Talent Acquisition expenses.
  • Code invoices through Markview for various Talent Acquisition expenses.
  • Provide ad hoc support to Talent Acquisition Advisors and Advisory Services, including data tracking, prescreening, and reference checks.
  • Support training or facilitated session setup, including booking venues, catering, and preparing materials.
  • Troubleshoot recruitment inquiries via phone and email, including application difficulties and job application status.

Required

Knowledge, Skills & Abilities:

  • Minimum 3 years of related experience in an office environment.
  • Highly effective customer service skills, including telephone and email etiquette, diplomacy, and a sense of urgency.
  • Ability to respond efficiently to customer service issues and make sound decisions regarding inquiry escalation.
  • Strong attention to detail and accuracy.
  • Proficiency with MS Office suite (Word, Outlook, PowerPoint, Excel, Access, Visio).
  • Strong organizational skills and ability to handle multiple priorities.
  • Strong interpersonal and communication skills.
  • High degree of professionalism, discretion, confidentiality, and independence.

Preferred

  • Experience with Workday and CRM systems.
  • HR experience is an asset.
  • Working towards Registered Professional Recruiter Certification (RPR) is nice to have but not required.
