Main Functions

Reporting to the Sales Director, Americas, the Sales Assistant, Americas will be primarily responsible for the administrative and logistical follow-up of a portfolio of clients in collaboration with account managers, working alongside the current sales assistant.

Responsibilities:

  • Support account managers in the daily follow-up of their customer orders to ensure customer satisfaction and smooth deliveries:
    • Produce and issue purchase orders, shipping documents, and invoices.
    • Confirm orders with internal collaborators (multiple factories).
    • Follow up on orders in production and inform the sales team.
  • Update and distribute weekly customer reports.
  • Maintain the file of customer logistics specifications.
  • Assist account managers during customer visits: book conference rooms and meals, prepare presentation materials, etc.
  • Collaborate with various internal departments (QA, QC, logistics, etc.) for various requests.
  • Collaborate with account managers for accounts receivable management.
  • Support sales team members in sending marketing documentation (specifications, various certificates, design formats for pouches, cases, etc.).
  • Participate in various sales team meetings.
  • Enter complaints into the complaint database.
  • Update monthly customer forecasts in the Lallemand computer system (Cognos).
  • Prepare and produce work materials for budget preparation by account managers and enter them into Cognos.
  • Provide necessary assistance in the absence of a colleague.
  • Participate in all other related tasks.

Technical skills

Required

  • Hold a professional diploma or college diploma in secretarial studies, administration, or administrative assistant
  • Have at least 3 years of experience in customer service in the manufacturing sector.

An asset

  • Experience in an administrative support position for export sales in the pharmaceutical sector

Personal abilities

Required

  • Excellent oral and written communication skills in French and English (Spanish would be an asset).
  • Excellent computer skills (Word, Excel, and PowerPoint). Knowledge of IBM Cognos and Microsoft Dynamics 365
  • Attention to detail, rigor, and strong organizational skills
  • Teamwork-oriented and customer service-focused

  • Knowledge of incoterms and logistics (export)
