Position Summary

The Instructor Trainer Recruitment and Support Coordinator, Education Programming provides superior customer service and support to interested applicants, new, and existing Instructor Trainers (ITs) worldwide. Acting as the primary liaison with Merrithew, this role guides ITs through the application process and offers continuous support for their administrative needs and professional development. Responsibilities include developing and implementing recruitment strategies, processing applications, and addressing any inquiries or issues that arise. Additionally, the Coordinator focuses on talent development and growing IT expertise, ensuring ITs have the resources and guidance needed to advance their skills and qualifications. The Coordinator ensures a seamless experience for ITs by working closely with Director of Education and the Senior Manager of Education Programming.

Core Responsibilities

IT Recruitment and Application Support:

  • Develop and implement IT recruitment strategies in collaboration with the Manager and Director of Education Programming.
  • Assist potential IT applicants by answering questions, processing application fees, and ensuring all requirements are met.
  • Identify potential IT candidates through marketing initiatives, monthly EMS reports, and collaboration with Education Account and Sales Managers.
  • Provide additional support and mentoring for non-successful applicants, encouraging re-application.

Ongoing Instructor Trainer Support

  • Act as the primary contact for ITs, addressing inquiries and providing career counseling and administrative support.
  • Process post-course fees and apply payments in the Merrithew EMS (Education Management System). Applying payments from the Merrithew online payment portal into EMS if required.
  • Organize and host regular IT information sessions, both virtually and in person.
  • Assist IT applicants with questions regarding arranging co-teaching. Coordinate new IT co-teaching details, connecting junior ITs with senior ITs, and finalizing arrangements with the Education Programming team. Provide co-teach recommendations to Manager of Education Programming for approval
  • Updating and maintaining master database records of IT qualifications including any additional qualifications, certifications, applicable post course/co-teaching details, examination status, status terminations, Co-Teach Mentoring abilities, IT agreements, and other notes as required. Including updating records in EMS and CRM systems.
  • Help to identify and encourage existing ITs to add additional Merrithew qualifications
  • Manage time-sensitive communications and maintain the Instructor Trainer email inbox.
  • Provide support to internal teams, Global Hosting, and Licensed Training Centers regarding IT recruitment and qualifications.
  • Coordinate and verify Head Office IT hours related to education programming with the Toronto Merrithew Studio, Corporate Training Center, and Senior Manager, Education Programming.

Instructor Training Development Coordination

  • Organize and draft the annual Merrithew IT course schedules, coordinating with the Corporate Training Center team and presenting to the Manager and Director of Education Programming for approval.
  • Assist with logistics for Merrithew IT courses and special events, ensuring smooth execution with the Corporate Training Center team.
  • Oversee IT development initiatives such as IT audits and annual exam audits.
  • Manage the process that allows ITs to become independent in examining students

Onsite Event Support

  • Travel to Merrithew Mindful Movement Symposium events (as required) and work the registration desk.
  • Provide superior customer service to symposium attendees and presenters throughout symposium events.
  • Assist team members with setup and teardown of equipment at symposium events as required.
  • Work marketplace sales desk alongside the Merrithew Events Team when required.
  • Utilize travel opportunities to recruit students for the IT program and meet attending ITs to offer in-person support.

Additional Support

  • Issue Instructor Trainer Certificates
  • Update and edit Instructor Trainer biographies.
  • Assist in other projects and duties as assigned, supporting the Education Programming team as needed.

Cross-Training

  • Be cross-trained in all aspects of education programming to provide backup support as needed, especially for events-related tasks.

Qualifications

  • University or College Degree in Business Administration and/or a related field
  • Minimum of 1-2 years Administration/Customer Service/Recruitment experience
  • Strong understanding of all Merrithew Education Programs is an Asset

  • Digital/ Technology Tools: Excellent skills in Excel, PowerPoint, Word, Outlook, Filemaker Pro or other database system
  • Additional languages, spoken and written, are a definite asset (Mandarin/Korean)
