Purpose
Lay the foundation for successful client partnerships by keeping the agency team organized and up to speed on all account activities.

Purpose

Responsibilities
Mastery of the Basics
- Own meeting logistics and requirements for all client meetings.
- Hold well-run meetings — start on time, have proper materials available, and ensure proper written follow-up.
- Be knowledgeable and manage details of all assigned client projects.
- Ensure clients are proactively and consistently up-to-date on all projects.
- Track hours/scope and distribute hours reports.
- Responsible for accurate and timely budget tracking and invoice billing.
- Responsible for the coordination and creation of presentation materials with appropriate team members.
- Maintain and archive detailed records of the life of a project on the agency server.
- Become and remain knowledgeable about assigned clients’ business, including marketing/communication objectives, KPIs, category, competition, etc.
- Track all competitive advertising activity and own the preparation of competitive reviews and updates.
- Work closely with Project Manager, Creative, Strategy, and Production groups to keep them informed of any changes in client and/or competitive climate.
- Own relationships with Project Management lead across assigned accounts/projects.
- Determine if work is in scope/out of scope, work with Resource Planning on hours estimation.
- Maintain client status reports for all projects (job number, deliverables, status, next steps and key dates, hours).
- Distribute Client Brief internally (objectives, timing and budgetary ballparks).
- Work with Account Leadership, Production, and other department heads to define time estimates for projects.
- Enter estimates into project management software.
- Work with Agency Operations to assign Account Resources to projects.
- Be informed of the internal project schedule to set accurate expectations with client and partner agencies.
- Work closely with Resources / Project Manager as needed to align the schedule and status of all projects.
- Facilitate client reviews and sign-off; document feedback, next steps, and share (Conference Report) with internal team and client.
- Identify the next steps (tasks, responsibilities, and timing) for creative/brief based on client review.
- Work with Production (and Business Affairs) to manage estimation and client approval of talent costs.
- Maintain relationships with partner agencies and make them aware of production schedules and/or changes.

- Must be highly organized and detail-oriented in a production-intensive environment
- Ability to collaborate within a team environment
- Strong verbal and written communication
- Proficient Google Suite and Collaboration Tools, especially Google Slides
