Position Summary

The Manager of Digital and Operational Systems plays a pivotal role in Carey Theological College’s ongoing transformation. This position is responsible for overseeing the digital platforms, systems infrastructure, and operational workflows that support Carey’s three business units: the College, Hotel, and Student Residences.


As Carey repositions itself for a new chapter of mission-driven growth, this role ensures the stability, usability, and integration of core systems—including Populi and MEWS—while contributing to a broader vision of institutional effectiveness and scalability. The Manager works across departments to streamline processes, resolve operational issues, and support Carey’s commitment to excellence in both academic delivery and guest services.


Looking ahead, this role will play a central part in building Carey’s vision of a connected campus—where academic, residential, and administrative systems are unified to support the full student lifecycle and multi-unit operations. This includes assessing the suitability of current platforms and leading the exploration and phased adoption of future systems, such as integrated tools for administration, campus operations, student life, and housing—each contributing to the vision of a connected campus and supporting long-term scalability across Carey’s academic and residential environment.


The Manager will help build the digital infrastructure needed to support this vision—enabling seamless student engagement from first inquiry to alumni participation, and ensuring Carey can meaningfully steward relationships across every stage of the journey.


As the College evolves, this position is expected to grow—potentially developing into a senior leadership portfolio or dividing into specialized roles across academic, residential, and enterprise technology systems.


Key Responsibilities


Institution-Wide Systems Oversight

  • Lead the management of Carey’s core platforms—including Populi and MEWS—ensuring platform stability, user accessibility, and data accuracy.
  • Serve as the primary internal expert on platform functionality, user experience, and troubleshooting across all business units.
  • Oversee supporting systems (e.g., Goki), ensuring operational reliability and integrated performance.


Digital Strategy & Infrastructure Planning

  • Translate Carey’s connected campus vision into an actionable digital transformation roadmap.
  • Assess current systems for gaps and redundancies to enable long-term scalability.
  • Lead implementation of tools that enhance efficiency, engagement, and cross-unit integration, including cloud-based platforms and API-enabled services.
  • Align all technology investments with Carey’s mission, strategy, and structural needs.


Cross-Functional Support & Coordination

  • Provide user training, documentation, and responsive support across academic and operational teams.
  • Liaise with vendors and service providers to manage system integrations and resolve issues.
  • Design workflows that bridge gaps between departments and improve service delivery.


Process Optimization & Operational Integration

  • Evaluate and redesign workflows to streamline operations and reduce inefficiencies.
  • Support the development of SOPs related to systems usage, permissions, and data governance.


Performance Tracking & Operational Metrics

  • Develop and oversee performance metrics and reporting systems that align institutional priorities with operational realities.
  • Ensure digital platforms and data tools generate actionable insights that inform budgeting, resource allocation, and strategic decision-making.
  • Support a culture of transparency and continuous improvement through integrated dashboards that connect key performance indicators to financial and organizational outcomes.
  • Monitor expenditures and help manage budgets related to digital platforms, systems infrastructure, and cross-departmental technology initiatives.


Scalability & Role Evolution

  • Build digital infrastructure and documentation that scales with Carey’s growth across programs and services.
  • As organizational complexity increases, this role may evolve into a senior leadership position or divide into specialized systems-focused roles.


Qualifications & Experience

Education & Professional Experience

  • Bachelor’s degree required; preference for information systems, business administration, or a related field.
  • 5–7 years of experience in systems administration, IT operations, or digital infrastructure—ideally in higher education, hospitality, or nonprofits.
  • Proficiency with platforms like Populi, MEWS, or similar SIS/PMS systems.
  • Experience managing digital workflows and platform integrations, including ERP, CRM, or facilities systems.
  • Familiarity with cloud platforms (e.g., AWS, Google Cloud, Azure) and integration tools (e.g., APIs, webhooks).
  • Demonstrated success in process improvement, execution, and user-centered service.

Compensation & How to Apply

This is a full-time position based at Carey Theological College on the UBC campus in Vancouver, BC. The salary range for this role is $80,000–$100,000 per year, commensurate with experience and qualifications.
