The Manager of Employee Support is seeking an Employee Support administrative Assistant to support the customer service experience of field and administrative teams, support in special projects i.e., clinical programs such as orientation/practicum. The Employee Support Administrative Assistant will act as a seamless extension of the Bayshore Northern Staffing Employee Support team and will work closely with the Director of Operations and Director of Clinical Services and other management/administrative team members.
DUTIES & RESPONSIBILITIES:
The responsibilities of this role include, but are not limited to:
- Works closely with the Employee Support Coordinator and Coach(es) and assists with credential management of new employee and independent contractors until new hire(s) are fully hired as needed.
- Coordinate, support and assists the Manager of Employee Support for any required team activities as required (team meetings, reports, process development)
- Provide first level contact via email and triage inquiries to the appropriate Management team members, and tracks for timeliness of completion, follow ups on outstanding items and provides data analysis.
- Supports the Clinical/Education team Orientation/Practicum process by sending meeting invitation emails, assigning self-learning modules, maintains the master tracker for new hires, assists with coordination of practicum and works closely with educators for any outstanding support, tracks orientation/practicum training completion, and providing certificates of completion.
- Sends out surveys to new hires post orientation/practicum and reports on responses at monthly meetings
EXPERIENCE:
- College Diploma in business Administration, or an acceptable combination of post-secondary education and progressively responsible experience.
- 2- 4 years of direct work experience in a healthcare environment
- Hands-on experience with Microsoft Office applications, including TEAMS, word, excel, PowerPoint, Outlook
CANDIDATE REQUIREMENTS:
- This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across our divisional team.
- Strong time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
