Key Responsibilities
- First point of contact at Reception; warmly and professionally greet staff and visitors to the office.
- Provide administrative and clerical support with speed and accuracy.
- Process office invoices for payment through SharePoint system.
- Perform and maintain daily documentation, filing and typing.
- Maintain and organize document files.
- Update and monitor office employee and parking assignments/lists.
- Coordinate with Information Systems to update and maintain office email distribution lists.
- Perform general clerical duties; photocopying, mailing, filing and couriers etc.
- Provide administrative support to various departments as needed, including direct administrative support to the Calgary Construction Operations team.
- Assist with coordination and organization of various internal and external events.
- Assist in booking boardrooms and setting up client meetings.
- Order catering for meetings and events, as required.
- Assist in the management and ordering of office and safety supplies.
- Ensuring office equipment and common areas including the kitchen and boardrooms are tidy and in good working condition.
- Monitor office supply inventory and replenish when necessary.
- Performs other duties and responsibilities as required.
- Experience in supporting a department in an administrative role.
- Knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook).
- Ability to work independently, accurate computer data input and record keeping.
- Attention to detail, excellent organizational and time management skills, and discretion with confidential information.
- Excellent verbal and written communication skills.
- Ability to maintain attention to detail in a fast-paced environment.
- Self-motivated, ability to learn new skills, assume new responsibilities and work cooperatively in a team environment.
- Effective written and verbal communication skills.
- Excellent interpersonal skills, team player.
