Responsibilities
The Counselling Assistant provides effective and efficient administrative support and acts as the first point of contact to the Academic Advising Office and the Experiential Learning and Internship Program in the Faculty of Arts and Humanities. The role supports and assists the Academic Advisors by ensuring accurate information is provided to undergraduate students and the flow of information is coordinated within the Office, by triaging student requests to determine their needs and the urgency of their requests, scheduling advising appointments, and providing documentation and background information as required. The role provides administrative support to the Associate Dean (Academic), to the Employer Relationship Specialist for the Experiential Learning and Internship Program, and to the Dean’s Office, assists with coordination of the Educational Policy Committee, facilitates various financial transactions, posts internship opportunities and facilitates application review, and provides records management for the Arts and Humanities undergraduate programs and students.
Qualifications
Education:
- 2 year Community College Diploma in Business Management/Administration
Experience:
- 2 years of experience providing administrative support to leader(s) and customer service in an academic environment
- Experience working in an academic advising/experiential learning office in a post-secondary environment dealing with students, faculty, staff and the community is preferred
Knowledge, Skills & Abilities:
- Knowledge of policies and procedures and with the academic calendar and programs offered at Western preferred
- Excellent verbal and written communication skills with the ability to remain calm and provide assistance to others during difficult situations
- A strong record of teamwork with the motivation and ability to work independently with little supervision
- Ability to process information with a high degree of accuracy
- Strong commitment to confidentially and discretion with an awareness of culturally sensitive issues; mental health awareness
- Strong problem solving skills with the ability to research/investigate issues and resolve problems
- Knowledge of general office procedures including electronic records management systems
- Intermediate computer skills in Microsoft Office, with editing programs (such as Adobe Photoshop), with content management systems (such as Cascade) and with file management systems (such as Laserfiche)
- Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner
- Ability to work in a fast-paced environment, meet tight deadlines and adapt to growth and change
- Ability to multi-task and maintain an organized and effective personal work environment
