The real estate coordinator (term for a period up to 2 years) performs property management and negotiation functions of a less-complex nature, which includes new agreements, amendments, renewals, rental reviews, lease administration, property valuations, inspections, overseeing tenant operations, and enforcing compliance with contractual terms. Provides support for due diligence and feasibility programs, purchase and sale transactions and development projects. Verifies input to property management systems and performs other assigned duties as required.
What you do:
- Administers lease and license agreements of a less-complex nature, as well as, new agreements, amendments, renewals, surrenders, rent reviews, easements and other agreements for the utilization of VFPA property, in accordance with VFPA policies, guidelines and practices
- Inspects and reports on VFPA properties, tenant improvements, including new construction and alterations to ensure compliance with agreement terms
- Prepares routine valuation reports and rental proposals. Carries out market rental surveys and reviews independent appraisal reports. Prepares submissions to management in support of lease or rental review proposals
- Reviews property agreements for completeness and accuracy. Verifies input to property management systems
- Fields real estate inquiries. Liaises with brokers, prospective tenants, and other external stakeholders
- Provides real estate input to Project Review Permit Applications and other organizational projects or initiatives
- Collects overdue rental accounts
- Creates, edits, provides input on marketing materials
- Provides support on property due diligence, obtaining inputs from other departments, liaising with brokers and other external stakeholders, and transaction closing procedures
- Provides support on new agreements, amendments, renewals, surrenders, rent reviews, easements, broker listing agreements, confidentiality agreements, and other agreements related to acquisition or disposition transactions
- Provides support on development projects including site due diligence and feasibility programs, communicating and coordinating with other departments, communicating and coordinating with brokers and other external stakeholders, creating and editing marketing materials
- Provides support, research and investigations relating to due diligence and feasibility programs together with ensuring all materials are appropriately catalogued and accessible
- Assists with the coordination of Access to Information Inquiries by reviewing VFPA property records and documents to ensure appropriate confidentiality. Assists auditors and special examiners, as required
What you bring:
- A diploma in Urban Land Economics, or equivalent, along with a minimum of two (2) years’ experience in a real property management role, including a minimum of one (1) year experience supporting marketing of vacant sites, creating and coordinating real estate marketing materials, and working with the brokerage community.
- Excellent command of Microsoft Word and Excel is required, and working knowledge of PhotoShop required.\
- Experience in database software would be an asset.
- Must have excellent interpersonal and communication skills, including the ability to liaise effectively and positively with both staff and outside contacts.
- Must be a highly motivated and proactive individual with a strong orientation to customer service.
- Must be committed to a philosophy of continuous improvement in all work processes.
- Must have high attention to detail and commitment to a high degree of accuracy and quality of work.

Working environment: Normal office conditions with occasional field inspections of VFPA properties are required.
