Corporate Facilities Manager - Bilingual

Raymond James Ltd. is seeking a Corporate Facilities Manager to join our dynamic team. The role will work out of our downtown Toronto office. Raymond James Ltd. is one of Canada’s leading full-service independent investment dealers offering high quality investment products and services to Canadians seeking customized solutions to their wealth management needs.
Reporting to the Vice President, Corporate Facilities located in Vancouver BC, the ideal candidate will be a strong team player that will serve as the central Canadian manager for the Corporate Facilities group. The role will work closely with the Vice President, Corporate Facilities and Raymond James leadership team to manage RJL’s leased corporate and branch offices across Canada with a primary focus on Ontario and Quebec. The role is multifaceted and will lead; day to day maintenance and management, new build projects, renovations, office reconfigurations and ongoing relationship management/administration with vendors and building Landlords.

What will your role be responsible for?
- Facilities Management: Involvement with space layout plan/design and acting in a primary role for the coordination of all aspects of tenant improvement build outs and renovation projects:
- Meet with internal stakeholders to understand and assess business requirements;
- Coordinate with designers to request and refine design proposals;
- Work with the VP, Corporate Facilities during the design process to finalize floor plans, budgeting and construction schedule;
- Engage with external vendors (i.e. mechanical and electrical engineers, furniture vendors) to ensure project budget and timelines are met;
- Work closely with IT team to plan and implement technology infrastructure, including network cabling, Zoom rooms;
- Attend regular meetings with designers, IT team, and contractors to review timelines and progress;
- Plan and manage the installation of furniture and equipment for offices, meeting rooms and workstations;
- Maintenance Facilitation: Lead all facets of ongoing office maintenance (service requests, moves, repairs, and building maintenance); ensuring service excellence
- Vendor and Stakeholder Management: Relationship management and oversight of vendors including but not limited to: contractors and trades, cleaning/maintenance, confidential shredding services, beverage services and postage machines. Maintain clear and proactive communication channels with business stakeholders and Landlords
- Health and Safety: Be a standing member of the RJL Health and Safety Committee in Ontario and a member of RJLs Canada Wide Health and Safety Committee. Provides support to VP, Corporate Facilities in executing RJLs Canada Wide Health and Safety Committee mandate, including but not limited to, the formation, administration, and coordination of any required Health and Safety Committee meetings, mandate changes and Health and Safety related protocols and projects. Responsible for i dentifying and maintaining required level Fire Warden, First Aider & Committee members repersentative across RJLs Canadian facilities. Accountable for ensuring Fire wardens, First Aiders and Committee Members’ training and qualifications are up-to-date and in compliance with Provincial Health and Safety, legal requirements and industry best practices. Responsible for coordinating the regular training and re-training of Fire Wardens, First Aiders & Committee Members to ensure qualifications are up-to-date and in compliance with Provincial Health and Safety requirements.
- Sustainability Initiatives: Represent Corporate Facilities as a member of the RJ Green Team. This team meets on a monthly basis to discuss ideas on how to reduce our carbon footprint; promote green initiatives; and to look for ways to increase awareness and environmental sustainability in our workplaces;
- Security Access: Maintain security access card database and reconcile with Building Security bi-annually and oversight of all aspects of the hotel desk/office booking system;
- This role requires in-office presence a minimum of 4 days per week.

What do we expect from you?
- 5 + years facilities management experience; preferably in a corporate environment
- Excellent analytical skills with the ability to manage multiple projects and priorities simultaneously
- Proven ability to implement superior problem-solving strategies in high-stakes and high pressure scenarios
- Ability to work collaboratively and individually as needed
- The ability to perform minor physical tasks such as lifting and climbing
- Some travel within Canada will be required
- Ability to communicate effectively in French is an asset
- Grow professionally and inspire others to do the same
