Job Description

As a key member of the Shared Services team, the HR Administrator will be responsible for preparing, assisting, and entering data into the HRIS system and other related systems. This role requires strong systems knowledge and attention to detail to ensure compliance with corporate policies, regulations, and service standards in daily HR activities. The ideal candidate will bring a deep understanding of Oracle and ADP systems and play a critical role in supporting HRIS-related projects, data integration, system upgrades, and process improvements. This position also involves collaborating with cross-functional teams to troubleshoot system issues, validate data accuracy, and provide operational guidance to ensure seamless HR and payroll operations.

Responsibilities

  • Act as a liaison between Shared Services, HR, and other departments/projects at The Redpath Group, directing internal and external inquiries to the appropriate HR personnel.
  • Verify and enter employee status changes (e.g., new hires, rehires, terminations, updates to personal and banking information) into the HRIS system.
  • Ensure timely and accurate collection of critical employee paperwork from field projects for payroll processing.
  • Conduct research, gather data, and maintain statistical reports related to HR activities.
  • Provide general administrative support, including filing both electronic and physical records and tracking deadlines.
  • Ensure confidentiality regarding employee relations and organizational changes, safeguarding all information, data, and files.
  • Collaborate with business units to follow up, clarify, and resolve discrepancies and issues.
  • Foster strong relationships with the direct team and business unit members.
  • Participate in special projects and other ad-hoc duties as required.
  • Assist with daily data audits to maintain accuracy and consistency before importing into the payroll system.
  • Provide back-up support for other administrators in the Shared Services Centre when necessary.
  • Lead or support system integration projects between Oracle HRIS and ADP Workforce Now, including data mapping, validation, and testing activities.
  • Understand Oracle and ADP platforms thoroughly to provide operational guidance, process optimization recommendations, and troubleshoot system-related issues.
  • Collaborate cross-functionally to gather business requirements, assess impacts, and provide input on system design and configuration during project phases.
  • Act as a subject matter expert for Oracle and ADP systems, supporting ongoing upgrades, UAT (User Acceptance Testing), and post-implementation reviews.
  • Document processes, test scripts, and project learnings for continuity and knowledge transfer.

Education

QUALIFICATIONS

  • Post-secondary education in HR Administration or a related field.
  • Minimum of 5 years' experience in a Human Resources administrative role within a Shared Services environment.
  • In-depth knowledge of and hands-on experience with Oracle HRIS and ADP Workforce Now systems, including integration, data flow, and troubleshooting.
  • Proven ability to handle high-volume transactions with strong attention to detail.
  • Experience in organizations undergoing rapid growth or change.
  • Experience managing projects in multi-country operations is a plus.
  • Familiarity with various HRIS systems (Oracle experience preferred)
  • Experience with change management and process improvement initiatives.

Requirement: Flexible to travel overseas as needed for projects.
