We have an opening for a Corporate Services Support Clerk supporting our Yellowknife office, working remotely from our Calgary office. This role plays a big part in assisting professionals in their day-to-day work. The role will require client service, both internal and external; preparation of many types of legal documentation; overseeing the smooth flow of physical procedures within the Yellowknife office.

Duties + Responsibilities

  • Support and assist the Yellowknife corporate services team members.
  • Assist with Administrative tasks. This may include but is not limited to: file organization, scanning and copying documents and data entry.
  • Process all incoming mail and deliveries via YK Business Services mailbox. This includes all mail and deliveries from all 3 offices
  • Incoming delivery process includes searching for file and matter number in NetDocs or ALF. Extracting and reviewing documents from the package and saving/naming them for the appropriate file/matter.
  • Emailing Paralegals/Clerks and saving emails to NetDocs when deliveries have been saved to the file and attaching all saved documents from NetDocs.
  • Process incoming proof of filings received from Corporate Registries in NWT, Nunavut, Yukon and Corporations Canada. POF’s are named/saved to the appropriate file and matters in NetDocs. Emailing the paralegal when POF’s are saved.
  • Process Rejections from the registry and review errors. Help to amend the documents to have them complete for re-submission to the registry.
  • Reviewing file; Preparing the annual ET annual return and list of directors last filed and forwarding same to the client for execution when required.
  • Assist with the preparation of submission documents to be sent to Corporate Registry in NWT. Ensuring all documents listed on the Charge sheet are accounted for and in order, making copies of documents that do not have duplicates as the registry requires duplicate forms, as well as saving the package to the file for proof of filing with the registry.
  • Creating Charge Sheets from ALF
  • Process Receipt of signed annual return, package and submission to (NT/NU/YT/CA) Registry
  • Receipt and review of the filed documents from Registry; Email to client providing proof of filing; Attending to updating ALF.
  • Drafting emails to the client with respect to providing the proof of confirmation received from Registry; reporting to the client and registering documents have been accomplished.
  • Responsible for Business Name Renewals letters
  • Other tasks as required.

Qualifications + Skills

  • High school diploma.
  • Experience working in a law firm or a similar professional setting.
  • Advanced computer skills.
  • Excellent organizational skills with strong attention to detail.
  • Excellent follow-up and bring-forward skills.
  • Strong analytical skills and problem solving with minimal supervision.

Ability to prioritize effectively and handle high pressure deadlines.Working Conditions

  • Ability to work in a fast-paced and dynamic work environment.
  • Normal week-day office hours (35).
