The Position

SSA Marine Squamish Ltd. is hiring a part-time Office Clerk, Traffic & Accounting at our Squamish office, reporting to the Operations Manager. The Office Clerk, Traffic & Accounting will be part of Local 517 of the International Longshore and Warehouse Union (ILWU).

 

The Office Clerk, Accounting & Traffic has a multifaceted role that combines responsibilities from accounting, invoicing, payroll, and traffic management. This position is crucial for ensuring the smooth operation of financial transactions, accurate invoices, timely payroll processing, and efficient traffic coordination within the organization, working closely with various departments, including operations, maintenance, and customer service.


Part-time employees at SSA Marine Squamish Ltd. may be scheduled to work up to four shifts per week, with shifts occurring on any day from Monday to Sunday. This scheduling applies year-round and offers flexibility in terms of the days and times worked. During peak periods, the Company may assign a fifth shift each week, with a limit of up to two additional shifts per month.


Additionally, as outlined in the collective agreement, Article 25, part-time employees will be considered "regular employees" for specific Articles.


Key Responsibilities

These are the responsibilities the Office Clerk will be performing, but not limited to:


  • Perform full-cycle accounting, including transaction entry, bank reconciliations, financial statements, and GST/PST reconciliation
  • Prepare and distribute invoices for cargo and services; manage accounts receivable and collections
  • Provide scheduled and ad hoc reporting on invoices and receivables to management
  • Manage payroll for ILWU 500 and 514, including timecard entry, non-billable costing, and file transfers to ADP
  • Administer foreperson’s option and report on hours, vacation, earnings, refusals, and pool interchange
  • Support maintenance by ordering parts, entering work orders, and reconciling inventory discrepancies
  • Provide general administrative support, including handling calls, faxes, and co-worker assistance
  • Offer holiday relief for invoicing and payroll duties
  • Organize company social functions such as the Christmas party


Qualifications & Skills

The ideal candidate will have a strong understanding of logistics operations and the ability to manage the flow of goods effectively within a terminal environment. You will possess a high level of attention to detail and business acumen, ensuring that all cargo movements are tracked accurately from receipt to departure. Your communication skills will be essential for interacting with team members, customers, and stakeholders to ensure smooth operations and timely updates on shipments.


The following qualifications and skills will contribute to your success in this role:


  • Experience with logistics or terminal operations (marine, rail, or warehousing industries preferred)
  • Strong attention to detail in tracking cargo and managing vessel lineups, railcar statuses, and cargo pickup notifications
  • Excellent communication skills for collaborating with customers and team members to ensure smooth operations
  • Ability to manage multiple tasks and coordinate shipments efficiently under tight timelines
