Strata Engineering is currently seeking a highly organized and proactive Project Coordinator to join our Burnaby office. In this role, you will be a key support to our team of Project Managers, helping drive the successful delivery of engineering consulting projects. This is an ideal position for someone who thrives in a fast-paced environment, enjoys multitasking, and is passionate about keeping projects running smoothly from start to finish.
Key Responsibilities
- Communicate with clients to understand their project requirements and gather relevant information to prepare proposals in response to requests for quotations.
- Collaborate with internal teams to define project scope and prepare, issue, track, and follow-up on proposals.
- Support the team with project tasks, including document requests, bookings, coordination of deadlines, and general Client coordination.
- Coordinate the scheduling of inspections and site visits according to project timelines and team availability and ensure that all necessary access and resources are available for scheduled inspections and site visits.
- Create, distribute, and compile Client-filled surveys and questionnaires.
- Assist in the issuance of reports, presentations, and other documentation as directed by the team leads.
- Maintain CRM system, including updates to proposal, project, and contact information.
- Prepare data reports from CRM system based on information required by the team leads.
Qualifications
- Bachelor’s Degree, or other related formal education.
- 2+ years' experience as a Project Coordinator, preferably in an engineering/construction environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
- Experience with calendar management and scheduling software such as Microsoft Outlook
- Proficiency in using Insightly CRM or similar customer relationship management software.
- Ability to quickly learn and adapt to new software systems and tools used within the firm.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Strong attention to detail and accuracy in all work performed.
- Experience in communicating and managing stakeholder expectations.
- Ability to communicate Clients’ needs to the Project Team.
- Ability to anticipate needs and proactively identify solutions to potential issues.
- Resourcefulness in finding information and resolving problems independently.
- Willingness to ask questions and seek clarification when needed.
- Professional English language proficiency and fluent in verbal and written communication.
- Eligibility for employment within Canada.
