Your Opportunity:
This position reports to and supports the Senior Operating Officer, Mental Health and Addiction. The incumbent is responsible for the day-to-day planning and organization of activities for the Senior Operating Officer office and the effective and efficient administrative management of a wide scope of responsibilities held by the Senior Operating Officer. S/he acts as a liaison between the zone program leaders, provincial leadership, internal and external partners including contracted agencies, municipal, provincial and federal government departments. S/he works closely with portfolio staff at all levels and establishes strong links with multiple administrative leads across the program, zone and province and contributes to high performance program planning. The incumbent also plays a role in demonstrating professionalism and while contributing to a positive team environment. This an advanced position that has, with minimal guidance and direction, responsibility for reasonably complex administrative duties including: Using a tracking system for assigning and tracking action requests. Reviewing, monitoring and recording all communication. Drafting complex reports, tables, financial statements and communications for the office. Acting as a contact for the office. Calendar management, meeting preparation and support. Collating and tracking financial activities including long standing vacancies. Making budget queries on overages in worked hours, overtime utilization, managing temporary positions. Reviewing expense claims for accuracy and coding. Payroll duties, and file management. *Work location for this position is negotiable within the North Zone.

Required Qualifications:
Completion of a post-secondary administrative diploma program and five years of progressively responsible experience in a senior administrative position within a health care-based organization.
Additional Required Qualifications:
Advanced knowledge of computer technology and current applications (including but not limited to: Word, Access, Excel, email, PowerPoint, OneDrive, One Note and intranet). Ability to complete duties with numerous interruptions, prioritize and balance workload, ability to coordinate meetings with professionalism and reprioritize existing meetings and conflicts. Ability to be an effective team member, be flexible and willing to learn new concepts. Ability to maintain confidentiality and manage confidential and sensitive information regularly. Considerable working knowledge of Alberta Health Services systems and processes (or previous experience with complex system navigation). Considerable working knowledge of legislation, policies and processes and general office policies and procedures (e.g. Health Information Act [HIA] and Freedom of Information and Privacy [FOIP]). Proven ability to plan, organize and prioritize tasks. Proven ability to make independent decisions within areas of responsibility. Experience in applying best practices and knowledge of organization to improve processes. Experience in navigating administrative systems and processes.
Preferred Qualifications:
This position has been identified and is anticipated to transition to Recovery Alberta effective September 1, 2024.
