The Opportunity
Gibbons Whistler is seeking a commercially minded, relentlessly organized Executive Project Manager to turn ambitious ideas into clear, financially disciplined, consistently advancing work.
Reporting directly to the President and operating as a member of the Senior Leadership Team, you will manage the Office of the CEO portfolio across Gibbons, property, investment, aviation, travel, and family-adjacent initiatives. You will create the visibility, structure, follow-through, and decision quality that allow our Visionary Founder and executive leaders to focus on the work only they can do.
This is a high-trust role with significant access—but access does not come with overall authority. Executive Leadership retains strategy, approval, and performance accountability. Your goal is to make sure the work behind those decisions is organized, financially sound, and moving.
What We’re Really Looking For
- You turn ideas into outcomes, owners, workplans, milestones, budgets, risks, and decision gates.
- You operate like an owner—not a just project tracker.
- You can manage a portfolio from the 30,000-foot view, then zoom into a contract clause, cash-flow assumption, or missed milestone without losing the thread.
- You are financially confident enough to build budgets with Finance, forecast where projects will land, identify overruns early, and recommend offsets or trade-offs.
- You close loops and finish projects relentlessly. Nothing important lives only in a meeting, inbox, or someone’s head.
- You are comfortable following up with senior leaders, vendors, advisors, lawyers, lenders, and contractors—and escalating when commitments drift.
- You turn complex or incomplete information into concise options, clear implications, and a decision-ready recommendation.
- You protect confidentiality, understand boundaries, but never confuse proximity to decision-makers with ownership of their decisions.
What You’ll Own
- One trusted Office of the CEO portfolio showing every priority’s outcome, owner, status, next step, milestone, budget position, risk, dependency, decision gate, and review date.
- Practical project plans and integrated timelines that translate approved direction into coordinated execution.
- Weekly owner updates, exception reviews, open-loop tracking, risk registers, decision logs, budget-change logs, and recovery plans.
- One concise weekly briefing for the Visionary focused on progress, red items, decisions required, financial implications, and upcoming milestones.
- Complete decision packages that bring together strategic purpose, options, financial inputs, downside scenarios, dependencies, risks, and the accountable owner’s recommendation.
- Coordination across internal leaders, vendors, contractors, consultants, lenders, legal advisors, and other professional partners.
- Strong working rhythms with the CFO and Finance team for project budgets, cash flow, ROI, financing assumptions, forecasts, and material variances.
- Confidential coordination with family and household stakeholders when Office of the CEO initiatives intersect with personal, travel, property, or family priorities.
- Continuous improvement of the Office of the CEO’s templates, dashboards, reporting, and operating cadence—without adding unnecessary bureaucracy.
Financial Ownership Matters
This is not a role that reports an overrun after it happens. You’ll:
- Support Finance to develop credible project budgets before commitments are made.
- Track approved budget, committed spend, actual spend, forecast at completion, and variance.
- Identify pressure early and understand where scope, timing, procurement, or other project costs can flex.
- Recommend informed trade-offs rather than allowing the total budget to expand by default.
- Escalate material changes through the correct approval path.
- Ensure no major capital, financing, acquisition, contract, or long-term commitment advances without the required business case and decision gate.
Cultural Alignment Matters
This isn’t a desk-bound coordination role. You’ll:
- Build trust quickly across executives, operators, family stakeholders, vendors, and advisors.
- Tell the truth early—especially when a project is late, under-scoped, over budget, or missing a decision.
- Hold people, including us, accountable to agreed outcomes and commitments.
- Challenge exciting work that is not yet ready, while preserving the ambition behind it.
- Use the Gibbons Way and GBS to create momentum, clarity, and accountability.
- Above all, you must protect the decision making time of the President and Founder, provide the CFO with clean numbers, support the Executive Assistant to achieve goals and lead with integrity where family decisions matter.
What Success Looks Like
- 100% of identified initiatives are captured and appropriately classified as Active, Paused, Decision-Gated, or Roadmap.
- Every active priority has a confirmed accountable owner, dated next step, milestone, review date, budget status, and risk rating.
- At least 90% of agreed portfolio actions are completed on time.
- Every milestone overdue by more than seven days has a recovery plan or escalation.
- At least 90% of matters brought to the Visionary are concise, complete, and decision-ready.
- Material projects are budgeted, forecast, and reviewed with Finance before commitments or changes are approved.
- Five to ten high-quality hours per week are returned to the Visionary through cleaner execution and fewer avoidable interruptions.
