Position Summary

The Administrative Support (CARF) position provides administrative and coordination support to the Director of Supportive Housing and leaders across the Supportive Housing portfolio, with a primary focus on CARF accreditation readiness. The role coordinates CARF requirements, documentation, evidence, action items, and timelines to support accreditation preparation and ongoing compliance with applicable standards.

Schedule

  • Temporary full-time contract ending January 31, 2027, with the possibility of an extension.
  • Monday to Friday, 8:00 AM – 4:30 PM.
  • Primarily office-based, with regular interaction with Supportive Housing leaders and visits to program sites.
  • Additional flexibility may be required during CARF preparation and survey periods.

Key Responsibilities

  • Coordinate CARF accreditation readiness activities across the Supportive Housing portfolio, including requirements, timelines, meetings, action items, and follow-up.
  • Develop and maintain CARF tracking tools and dashboards to monitor requirements, assigned responsibilities, completion status, outstanding actions, and readiness.
  • Gather, organize, maintain, and review CARF documentation and supporting evidence to ensure records are accurate, current, complete, and aligned with applicable standards.
  • Conduct administrative reviews to identify documentation gaps, inconsistencies, or outdated materials and support leaders in addressing identified requirements and recommendations.
  • Research and monitor CARF standards, accreditation requirements, and relevant evidence-based practices, communicating changes and potential impacts to the Director and portfolio leaders.
  • Provide administrative and coordination support to the Director of Supportive Housing and portfolio leaders, including preparing meeting materials, reports, action lists, and other documentation.
  • Support internal reviews, mock surveys, formal CARF surveys, portfolio initiatives, and continuous improvement activities by coordinating information, documentation, communication, and follow-up.

Qualifications

Education

  • Diploma or degree in Business Administration, Human Services, Health Sciences, Social Sciences or related discipline

Certification

  • Valid Class 5 Driver’s License and vehicle
  • Proof of vehicle insurance, registration and 3-year drivers abstract.

Experience

  • 3+ years of administrative, coordination, project support, or related experience.
  • Experience working with accreditation standards, quality improvement, compliance, or similar requirements; direct CARF accreditation experience is considered an asset.
  • Experience reviewing, organizing, and maintaining administrative documentation and supporting internal reviews.
  • Experience developing and maintaining dashboards, action trackers, or similar tools to monitor requirements, timelines, and deliverables.
  • Strong proficiency with Microsoft 365, including Word, Excel, PowerPoint, SharePoint, and Teams.
  • Experience in supportive housing, health, social services, or community-based services is considered an asset.
