General Summary
Reporting directly to the Clubhouse Manager, the Programs Coordinator manages, coordinates, and oversees a variety of programs and projects at the Clubhouse.
Job Purpose Summary
The Programs Coordinator plays a vital role in ensuring that all BGC Ottawa programs are delivered with excellence and measurable impact. They lead the program team, monitor program outcomes, and build meaningful relationships with members, parents, and community partners.
Responsibilities / Activities
Major Responsibility 1: Implementation and evaluation of strategic plans for Clubhouse programming
- Ensure that part-time staff implement annual program goals and objectives aligned with BGCO’s core strategy and timelines.
- Ensure the Clubhouse Part-time Staff Team is implementing operational goals and objectives based on the Programs Department Core Programs strategy, budget, and timelines.
- Support Clubhouse teams in ensuring program quality and impact using appropriate evaluation tools and ensuring compliance with BGC Ottawa and BGC Canada Operational Standards.
- Oversee the development and delivery of programming aligned with the BGCO Program Policies and Procedures Manual and the BGC Ottawa Employee Handbook.
Major Responsibility 2: Supervision of Staff, Volunteers, and Placement Students
- Provide guidance, training, and evaluation for part-time staff and volunteers. Co-lead the Clubhouse in the manager’s absence.
- Assist in orientation, training, and supervision of part-time staff, work-study students, junior staff, and volunteers.
- Respond to concerns regarding staff behaviour or misconduct following the organization’s accountability system and report concerns to the manager.
- Work closely with the Operations Coordinator to ensure all staff complete tasks within deadlines and adhere to BGC Ottawa policies.
- Create a team environment that encourages open feedback, is results-oriented, and maintains compliance with BGC Ottawa policies and procedures.
- Co-lead the clubhouse during the absence of the Clubhouse Manager.
Major Responsibility 3: Deliver Quality Programs and Excellent Member Experience
- Lead data input, monitoring, and analysis to ensure accurate and timely reporting across all program areas using appropriate Program databases (Avocado, Campbrain, etc.).
- Develop and evaluate program curriculum and member engagement tools; oversee program execution and ensure EDI goals are integrated into all programming.
- Support and oversee a range of projects and programs in community-based settings.
- In collaboration with the Clubhouse Manager and other Program Coordinators, create or revise curriculum with clear activities and measurable outcomes.
- Attend BGC Ottawa training, meetings, and events as required.
- Develop and implement member evaluations (e.g., General Member Survey) to assess skill development and program satisfaction.
- Meet with parents to provide program information, clarify expectations, and support referrals as needed.
- Align programming with BGCO’s strategic direction.
- Support the successful delivery of programs and achievement of targets and outcomes.
- Secure, maintain, and monitor materials and resources required for Clubhouse programs.
- Adhere to policies and maintain confidentiality regarding member, HR, and agency information.
- Work at other BGCO Clubhouse locations or satellites as required.
- Ensure EDI goals and priorities are embedded in all programs and activities.
- Support and participate in training staff on BGC Ottawa's core programming frameworks, including Developmental Assets, Risk & Protective Factors, High Five, and the R2 Resiliency Approach Model.
Major Responsibility 4: Community Development/Outreach
- Represent BGCO at community events and build partnerships; identify community needs and strengthen family engagement.
- Support the Clubhouse Manager at community events, committees, and forums, creating awareness of BGCO and identifying new partnership opportunities.
- Work collaboratively with other agencies.
- Liaise with services supporting young people who may require additional or specialized assistance, ensuring appropriate referrals (including youth aging out of Clubhouse programming) to Community Services (i.e. PYOW, Diversion, etc.,).
- Support parents and members and assist with referrals when needed.
- Assist in environmental scans to identify partnership and resource gaps.
Major Responsibility 5: Administration and Finance
- Monitor program budgets, maintain databases, complete HR forms, and identify funding or partnership opportunities.
- Prepare financial statements and maintain program records.
- Assist the Clubhouse Manager in monitoring operational budgets.
- Pull reports (including High Five reports) to assess program progress and effectiveness.
- Support ongoing review and evaluation of learning programs.
- Maintain internal program databases.
- Identify funding needs and contribute to program marketing ideas.
- Submit HR and financial forms in a timely manner.
- Assist Clubhouse Managers with screening and interviewing youth worker candidates.

Qualifications
- Post-secondary education in Child and Youth Studies, Social Sciences, or a related field.
- Minimum of 3 years of experience in youth program delivery or community-based programming.
- Experience supervising part-time staff and volunteers.
- Knowledge of youth development principles and community engagement best practices.
