About This Position
Reporting to the Lead Project Controller, the Document Controller is responsible for establishing, maintaining, controlling, and distributing project documentation to ensure accurate, current, and accessible records throughout the project lifecycle. The role supports project compliance, document quality, version control, and efficient communication between project teams, clients, and stakeholders.
Essential Duties And Responsibilities
Health & Safety
- Be aware of any health and safety hazards or infractions and report same to Health and Safety Department.
- Ensure the measures and procedures prescribed by the applicable Occupational Health and Safety Act and Regulations are carried out in the workplace.
- Work in compliance with all Health and Safety rules and regulations for Cementation.
- Be a champion for safety, advocating safe behavior while incorporating safety into continuous improvement deliverables.
General Duties And Responsibilities

Daily Responsibilities
- Manage the receipt, distribution, filing, retrieval, and archiving of all project documentation.
- Maintain document control registers and ensure all documents are current, complete, and accurately version controlled.
- Review incoming and outgoing documents for compliance with project standards and numbering conventions.
- Coordinate document transmittals between Cementation, clients, consultants, subcontractors, and project teams.
- Monitor document review and approval workflows and follow up on overdue actions.
- Ensure project records, drawings, RFIs, correspondence, meeting minutes, and change documentation are properly maintained.
- Support project teams by providing timely access to controlled documents and records.
- Prepare regular document control status reports and support project close-out by compiling final documentation.
- Administrate project's role-based access and securities in line with company security protocols.
- Perform additional duties as assigned.
Long Term Responsibilities
- Establish and continuously improve standardized document control processes across projects.
- Maintain document management systems and support implementation of new digital tools and workflows.
- Promote document quality, consistency, and compliance with client and Cementation requirements.
- Collaborate with project teams to improve document management practices and training.
Travel Requirements
- This position may require travel to our project sites and offices.
- Travel period may range from one day to several days.
- Travel may include international assignments.
Supervisory Responsibilities
- This position has no direct supervisory responsibilities
Education And Experience
- College diploma or University degree in Business, Administration, Information Management, or a related field would be advantageous.
- 3+ years' experience in document control on construction, mining, engineering, or industrial projects.
- Experience managing controlled project documentation and familiarity with contract documentation.
Skills, Knowledge, And Abilities
- Proficient in Microsoft Office, particularly Excel and Word.
- Experience with electronic document management systems (EDMS) such as SharePoint, Autodesk Docs, or similar.
- Experience in Adobe, Docusign or other similar approval software.
- Strong attention to detail with excellent organizational and document management skills.
- Excellent written and verbal communication, presentation, and organisational skills.
- Conducts self in a professional manner and is adaptable and flexible to meet the needs of the role.
- Ability to manage multiple priorities while maintaining document accuracy and confidentiality.
