Main Function
Responsible to the Citywide Foreperson to hire and lease equipment for the Linear Infrastructure Services division and ensure that the appropriate administrative and financial controls are adhered to in compliance with City of Greater Sudbury’s (City) Purchasing By-laws. Maintain a central equipment pool and warehouse area.
Objectives
- Efficiently operate and optimize the City’s central equipment pool by ensuring timely availability, proper maintenance, and cost-effective utilization of equipment before external rentals are considered.
- Ensure all equipment procurement, rental, and contractor activities comply with City purchasing by-laws and standards through effective coordination, record-keeping, and monitoring of vendor performance and financial controls.
Duties
- Operate a central equipment pool and ensure optimal use of the pool prior to renting from external suppliers. Store, issue and receive hand tools, machines, operating equipment, personal protective equipment, and safety equipment.
- Inspect, test, maintain and conduct minor repairs on small engines, equipment and hand tools. Coordinate
equipment repairs.
- Oversee equipment rental and contractors to ensure that suppliers have provided the City with the appropriate Thak
equipment as specified in the Tender Call, in accordance with City’s Purchasing By-law.
- Under the supervision of the Citywide Foreperson, negotiate rates with contractors and rental companies in the best interest of the City for equipment that is not under contract.
- Coordinate the rental of vehicles and equipment with users and vendors and supply equipment to users in a timely manner. Deliver equipment, supplies and materials.
- Verify condition of rental vehicles on receipt and on return to vendors.
- Conduct reference checks on prospective rental and contract equipment suppliers. Audit contractor qualifications and training requirements.
- Provide up-to-date equipment operating procedure forms.
- Maintain an electronic inventory of equipment and material and monitor inventory levels.
- Perform routine clerical duties such as filing, record keeping, processing invoices for payment, completing various performance and control reports such as expenditure reports, inspection reports, service reports, accident reports, damage settlements reports, etc. Maintain various logs.
- Maintain a clean and organized warehouse area. Perform other routine labour, as directed.
- Develop and maintain a thorough working knowledge of the City's Health and Safety policies and the applicable provincial legislation listed therein.
- Perform other related duties as required.

Qualifications
Education and Training
- Successful completion of Secondary School (Grade XII) Education.
Experience
- A minimum of three (3) years of directly related experience.
Other Requirements
- Mechanical equipment knowledge, as to specifications, equipment capabilities, operation, and tendering procedures.
- Capable of maintaining work records and understanding equipment service manuals.
- Demonstrated ability related to file maintenance, email applications, spreadsheet applications and information input/retrieval.
- Proven capability in dealing with the public and proven conflict resolution skills.
- Ability to perform the essential duties of the position.
- Demonstrated reliability, professionalism, and accountability in meeting job responsibilities.
- Must be physically capable of operating a vehicle safely, possess a valid Class G driver’s licence, and have an acceptable driving record.

Development opportunity rate of pay: $32.21 per hour. The successful candidate will be paid at the reduced rate until the minimum qualifications have been met.
