About Here & Now Productions

Here & Now Productions is a Vancouver-based event production company with more than 20 years of

experience producing exceptional live events across British Columbia and beyond.

Our team works with municipalities, corporate clients, non-profit organizations and private clients to

produce a diverse range of events, including large-scale music festivals, concerts, conferences,

fundraising galas, Indigenous cultural events, fashion shows, community celebrations and exclusive

private performances featuring internationally acclaimed artists.

From early planning and creative development through to technical production and event delivery, we

pride ourselves on producing memorable experiences with professionalism, creativity and attention to

detail.

The Opportunity

We're looking for an organized, proactive and detail-oriented Event Production Coordinator to join our team during one of our busiest production seasons.

This is a primarily office-based position supporting the planning, coordination and delivery of multiple live events.

Working closely with our Producers and Project Managers, you'll help keep projects organized,

coordinate logistics, maintain production documentation and support the day-to-day operations of a busy event production company.

While most of your work will take place in our Vancouver office, there will be opportunities to support

onsite event operations during event installations, rehearsals, event days and strikes.

What You'll Do

  • Support Producers and Project Managers with the planning and coordination of live events
  • Coordinate project schedules, timelines and task lists
  • Prepare production schedules, run sheets, contact lists and event documentation
  • Build and maintain detailed spreadsheets for logistics, budgets and project tracking
  • Coordinate with clients, venues, suppliers, contractors and event partners
  • Schedule meetings and maintain project calendars
  • Take meeting notes and track action items
  • Organize and maintain digital project files using Google Workspace
  • Assist with equipment rentals, purchasing and production logistics
  • Track project deliverables and follow up on outstanding items
  • Provide general office administration and operational support
  • Assist with onsite event operations, including load-ins, event days and load-outs

What We're Looking For

Required Qualifications

  • 1–3 years of experience in event coordination, administration or a related role
  • Exceptional organizational and time management skills
  • Excellent written and verbal communication skills
  • Strong proficiency with Google Workspace, including Docs, Sheets, Drive and Calendar
  • Excellent spreadsheet skills and attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Professional, reliable and self-motivated
  • Positive attitude with a willingness to learn and contribute wherever needed
  • Comfortable working independently while contributing as part of a collaborative team

Assets

The following experience and skills would be considered an asset:

  • Experience working onsite at live events, festivals, concerts or conferences
  • Proficiency with Canva
  • Valid BC Driver's Licence
  • Technical production knowledge or hands-on experience with audio, lighting or video systems

  • Occasional evening and weekend work will be required during event periods
