Salary Range: $63,484 to $91,259; Typical Hiring Range $63,484 to $79,355

Role Summary

Health Quality BC provides system-wide leadership to efforts designed to improve the quality of health care in British Columbia. Through collaborative partnerships with health authorities, patients, and those working within the health care system, we promote and inform a provincially-coordinated, patient-centred approach to quality.

Reporting to the Director, Strategy & Operations, the Coordinator provides project support and coordination of work activities and processes related to operational functions across the organization as well as office-related matters. The role supports the Strategy & Operations department by collecting, aiding in analyzing, and collating information in areas such as HR, health and safety, privacy and security, IT, and finance, in addition to duties associated with maintaining the Vancouver office. Further, prepares reports and documents to support staff across the organization in these areas. Utilizes reporting and presentation software and tools to support business planning, decision-making and performance management supporting the Director and various leaders across the organization, along with other staff. Supports team efforts with internal and external partners on operational projects and initiatives.

Key Accountabilities

  • Coordinates activities on behalf of the Director by requesting and coordinating information with various partners, by collecting, collating and organizing information in templates for the Director’s review
  • Conducts complex analysis and research to support planning, performance and outcome measurement for special initiatives and projects through benchmarking, charting and measurement activities.
  • Establishes and maintains databases and spreadsheets to monitor and track current organizational employees, activities and projects.
  • Prepares and compiles a variety of information and reports, for both internal and external reporting purposes, by entering and extracting data from various sources, developing complex queries, manipulating data, and providing analysis and recommendations based on the information as appropriate.
  • Tracks and processes invoices and drafts reports as requested.
  • Supports onboarding and off-boarding activities for staff
  • Monitors contract expiry dates and liaises with the Director on upcoming contract expiry and renewals. Drafts contracts for approval and sign off by the Director.
  • Develops and maintains tracking dashboards to highlight areas of risk, and drafts and implements appropriate mitigation strategies.
  • Coordinates the dissemination of information and knowledge related to projects and initiatives to internal and external groups through a variety of vehicles.
  • Conducts background research on various topics, summarizes information and drafts presentations and briefing notes.
  • Manages, completes and submits eForms; supports timekeeping in Workforce Management; and liaises with Finance, Payroll and Human Resources as necessary.
  • Develops and maintains all Standard Operating Procedures for all activities in the department.
  • Ensures the accuracy and confidentiality of information and the integration of information from various sources.
  • Prepares staff communication regarding operational functions and project updates. Responds to employee enquiries are related topics on behalf of the Director as applicable.
  • Prepares for meetings including drafting agendas and ensuring charts/reports/tracking tools are pre-circulated, takes electronic minutes during the meetings that include action steps and associated responsible person and timelines, and follows up to ensure action items completed and progress reported at subsequent discussions.
  • Prepares and maintains project tracking systems, plans meeting structures and coordinates project meetings, participates on and liaises with various working groups, maintains issue logs, and prepares reports to ensure all stakeholders are informed of the status of the project(s).
  • Supports timekeeping and assists with issue resolution and SOP development and maintenance.
  • Collaborates on various other initiatives and special projects across Health Quality BC
  • Performs other related duties as assigned.

Qualifications

A level of education, training and experience equivalent to a bachelor’s degree and five (5) years of experience in a responsible administration, project management and business operations role at a senior level.

Demonstrated initiative, high motivation, independent problem solving and creative solutions implementation capabilities. Proven organization skills and ability to coordinate multiple projects and meet deadlines with high attention to detail. Demonstrated ability to manage projects on time and budget. Demonstrated ability to work in a complex fast paced environment with minimal supervision and procedural guidelines and to be flexible to meet and adapt to changes in organizational and project priorities. Demonstrated advanced skills in word processing, spreadsheet, planning and presentation software. Excellent written and verbal communications skills. Strong people and team skills with demonstrated ability to engage others both internal and external to Health Quality BC and provide guidance, leadership and facilitation for problem solving. Demonstrated organizational skills and ability to prioritize workload and work under pressures to meet multiple deadlines.
