Overview
The Administrative Coordinator, who reports jointly to the Chair of Computer Science and the Chair of Electrical and Computer Engineering, is responsible for providing administrative support for the Departments of Computer Science, Electrical and Computer Engineering, Mechanical and Mechatronics Engineering, and Software Engineering at the Barrie STEM Hub. This position coordinates faculty and staff onboarding, academic scheduling, program administration, recruitment activities, departmental communications, and events. The Administrative Coordinator maintains departmental records, supports academic processes, manages departmental websites and resources and provides administrative support to faculty, staff and students.
Responsibilities
- Coordinate the onboarding of faculty, staff, and part-time instructors by preparing employment documentation, facilitating system access, and supporting their integration into departmental operations.
- Provide administrative support to Department Chairs, Deans, Program Coordinators, faculty, and staff by coordinating meetings, managing calendars, preparing correspondence, processing documentation, and maintaining confidential records.
- Coordinate academic scheduling, including course offerings, examinations, student groups, room bookings, timetable changes, and related processes in accordance with university policies and deadlines.
- Support academic program administration by maintaining records; processing curriculum and calendar changes; and assisting with accreditation, program reviews, and academic integrity processes.
- Coordinate faculty recruitment, departmental events, seminars, and guest visits by managing job postings, interview logistics, travel arrangements, communications, and promotional materials.
- Maintain departmental websites, social media platforms, and online resources by updating program information, faculty profiles, news, events, and student resources.
- Coordinate the preparation and distribution of instructional materials, examinations, textbooks, printing requests, office supplies, and other resources to support teaching, research, and departmental operations.
- Provide front-line customer service to students, faculty, staff, and external stakeholders by responding to inquiries, resolving issues, coordinating departmental operations, and performing other related duties as assigned.
Qualifications
- Post-Secondary Education in Business or Office Administration, or other related field, along with a minimum of three (3) years related experience, or an equivalent combination of education and experience.
- Experience working in a post-secondary or academic environment is preferred.
- Demonstrated ability to work independently, exercise sound judgement, maintain confidentiality, and effectively manage multiple priorities in a fast-paced environment.
- Excellent organizational, interpersonal, written, and verbal communication skills, with strong analytical, problem-solving, and customer service abilities.
- Proficiency with Microsoft Office Suite, Google Workspace, and database or enterprise information systems; experience with creative design software and university administrative systems is considered an asset.
