Role Description

Urbanwindows is seeking a dependable, organized, and proactive Office Assistant to support daily office operations and help maintain an efficient, welcoming workplace. This on-site role is ideal for someone who thrives in a fast-paced environment, enjoys administrative work, and can confidently manage multiple responsibilities while supporting staff and clients.

Key Responsibilities

Administrative & Clerical Support

- Manage daily office communications including phone calls, emails, and correspondence

- Organize, maintain, and update office records, files, and documentation

- Schedule appointments, meetings, and calendar activities

- Provide clerical and administrative support to management and staff

- Welcome clients and visitors professionally

Office Operations & Equipment

- Maintain office equipment such as printers and ensure proper functionality

- Monitor and order office and kitchen supplies as needed

- Support smooth day-to-day office management

Meeting Coordination & Hospitality

- Prepare tea, coffee, and refreshments for staff and guests

- Set up meeting spaces and maintain a professional office atmosphere

- Assist with hospitality during meetings and client visits

Office Organization & Maintenance

- Help maintain cleanliness and organization of office, kitchen, and common spaces

- Support overall office presentation and daily operational readiness

Simple Canva & Creative Support (Optional Asset)

- Use Canva templates for simple office materials such as flyers, social posts, or presentations

- Update existing templates when needed (no advanced design skills required)

Qualifications

- Strong phone etiquette and clear, professional communication skills

- Experience in administrative assistance and general clerical duties

- Proficiency in using and maintaining common office equipment

- Strong organizational skills, attention to detail, and multitasking ability

- Proficiency in Microsoft Office (Word, Excel, Outlook)

- Basic Canva knowledge is an asset for simple template-based tasks

- Previous experience in office administration or customer service is advantageous
