FACULTY OF BUSINESS: MBA PROGRAM

The UNB Saint John MBA Program provides a 12-month intensive graduate program. The program, with support from other UNB departments, manages admissions, advising, curriculum development, partnerships, recruitment, experiential learning, and alumni relations.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Additional Working Conditions

  • Travel may be required between the MBA Uptown campus, the UNB Saint John main campus, and other venues within the City of Saint John.
  • Able to bend, lift, and move boxes, supplies, or equipment weighing up to 25 lbs.

Salary Range: $21.43 - $26.66 per hour

YOUR FOCUS

Reporting to the Manager, Operations & Partnerships, the MBA Administrative Assistant provides administrative and project management support to the MBA Director and MBA support staff. This position coordinates MBA activities, administration and program tracking.

  • Serve as the first point of contact for MBA program inquiries and escalate messages as required.
  • Prepare and send routine communications to students, faculty, and external stakeholders.
  • Maintain organized files and records for program policies, regulations, and template documents.
  • Update the annual student handbook and MBA Regulations manual.
  • Manage mail, shipping, and receiving for the program office.
  • Coordinate with Facilities and ITS for room setup, technology support, repairs, and maintenance.
  • Provide administrative support for projects, track timelines, and monitor follow-ups.
  • Maintain and update program calendars, including key academic dates and deliverables.
  • Coordinate exams, including space bookings, collection of student deliverables, and invigilator arrangements.
  • Ensure program webpages and documents remain current, accurate, and aligned with UNB guidelines.
  • Coordinate onboarding and training setup for administrative systems, including CRM, Microsoft Office, calendars, and booking tools.
  • Support recruitment and HR processes, including interview scheduling, reference checks, and onboarding preparation.
  • Prepare and track financial documentation, including purchase orders, travel expenses, reimbursements, and payment requisitions.
  • Support purchase card reconciliation and liaise with vendors as required.
  • Order office supplies, monitor inventory levels, and maintain an organized supply room.
  • Provide class administration support by responding to student inquiries and directing them to appropriate resources.
  • Support program communications through internal and external platforms, including social media updates.
  • Assist with coordination of student-led committees and activities.
  • Support planning and delivery of program events on and off campus, including logistics, communications, and on-site coordination.
  • Provide administrative support for special projects, events, and initiatives.
  • Perform additional duties in support of MBA program operations as required.

What You Bring

  • College diploma in Business Administration, Office Administration, or a related field.
  • 2-3 years progressive administrative experience in a fast-paced office environment, preferably within a post-secondary, government, or similar professional setting.
  • A combination of education and experience may be considered.
