THE OPPORTUNITY

Reporting to an HR Advisor with dedicated client groups, the HR Technician completes a wide range of administrative functions, tasks and projects for the Business Partnership and Talent Acquisition teams. The Technician supports the full employee lifecycle and handles sensitive information requiring well-rounded knowledge and expertise of HR functions and services, and employment practices. The Technician fulfills a key support role to the HR department and employees, maintains and continually improves HR processes, and acts on behalf of the HR Advisor as required. The Technician acts as a first point of contact for routine HR inquiries and transactions, resolving requests directly where possible, and triaging or escalating complex matters to HR Business Partners or the appropriate Centre of Expertise. The role emphasizes service excellence, data integrity, confidentiality, and adherence to established service standards and turnaround times.

The Human Resources department provides HR leadership across BCI, in direct support of investment return objectives and delivering on BCI’s strategic ambitions of Driving Sustainable Growth, Accelerating Innovation and Operating on a Global Scale. The HR department adds value as a strategic business partner, an enabler of change when mandates shift, and serves as a trusted advisor to the CEO/CIO, executive, and the board on all people matters.

HR supports every person at BCI and serves as a partner to all departments on strategic initiatives and day-to-day HR matters. By focusing on our talent, we ensure the organization has the right people with the right skills supporting and delivering on investment strategies for the benefit of our clients.

WHAT YOU BRING

  • Completion of a two-year diploma in HR/related field or equivalent
  • 2+ years of office experience, with preference given to those with HR experience. BCI (HR) co-op work terms are considered relevant experience.
  • Proficient skills in Microsoft Office, Adobe, SharePoint
  • Familiarity with AI tools and willingness to learn and adopt new technologies to improve efficiency
  • Ability to work effectively with broad direction in a close interdependent team environment
  • Strong organizational skills with a high attention to detail
  • Ability to multi-task and seamlessly change priorities when required
  • Ability to work with a diverse range of investment professionals in a proactive and confidential manner
  • Working level understanding of employment legislation and the HR industry
  • Proficiency and confidence when dealing with all levels of the corporation
  • A service-minded attitude and sensitivity to differing cultures
  • Preference for HRIS experience (knowledge of Workday HCM is considered an asset)

WHAT YOU WILL DO

The Human Resources Technician supports both the Business Partnership and Talent Acquisition Centres of Excellence.

Business Partnership

  • Assists with onboarding new employees by ensuring all necessary pre-employment paperwork is completed and entered into Workday and the appropriate internal departments have been notified for access, necessary equipment and training
  • Enters and updates employment data in Workday for all aspects of the employee life cycle including new hires, promotions, temporary assignments, International Transfers, International Assignment/Secondments, Retirement, salary changes and departures
  • Monitors employee changes and end dates by generating reports in Workday and flagging to the Advisor and/or HR Business Partner for follow-up when needed
  • Prepares confidential letters including employment confirmation, promotion, job change letters, etc. for the Advisor and/or HR Business Partner
  • Responds to initial queries regarding employment policies, benefit provisions, vacation utilization and general employee relations topics, referring to other COEs as appropriate
  • Completes 1-month check-ins with new employees to build relationships and offer support and resources
  • Maintains internal HR processes and continually evaluates for improvement opportunities
  • Reconciles personal corporate credit card
  • Processes invoices as required
  • Provides administrative support for the annual performance review cycle (e.g. scheduling meetings, preparing and distributing confidential documents, entering data into Workday, etc.)
  • Guides employees to appropriate resources that exist on the company intranet or to the appropriate HR COE
  • Identifies opportunities for AI utilization and automation of HR processes, and implements solutions
  • Provides back-up to other HR Technicians and HR Advisor, as and when required

Talent Acquisition

  • Supports the recruitment process by posting job vacancies, scheduling interviews, and preparing interview packages in collaboration with the assigned Recruiter
  • Drafts offer letters with a focus on the nuances of UK/US/Canada letter templates and legal signing authorities
  • Processes all recruitment related expenses
  • Connects out-of-town interview candidates with an external travel coordinator and processes related travel expense reimbursement claims (e.g. taxi, per diems)
  • Initiates criminal record and education verification checks for all new hires and escalates any related issues to the assigned Recruiter; coordinates checks in accordance with applicable jurisdiction
  • Coordinates recruiting vendor contracts and invoice payments

ADDITIONAL RESPONSIBILITIES

  • Either primarily or as back-up for HR Technician peers, additional duties may include coordinating orientation, preparing weekly staffing update, executive calendar management for Vice President, Human Resources and coordinating HR team member travel

WHERE YOU WILL WORK

This role will be based in our headquarters in downtown Victoria, BC.

SALARY RANGE

The annualized salary range for this Victoria based role is CAD $68,000 - $78,000.
