The Saskatchewan Mining Association (SMA) is a not-for-profit, industry-funded organization representing Saskatchewan's exploration and mining sector. Through government, public, and member engagement, we advocate for a strong and sustainable mining and exploration industry. Our member companies play a vital role in supplying the minerals that support food production, clean energy, technology, and economic growth in communities across Saskatchewan and around the world.
Position Summary
The Office Administrator is central to the efficient operation of the SMA office. This role provides administrative, organizational, and logistical support across a variety of functions, including office management, executive support, event coordination, and basic financial data entry.
Key Responsibilities
General Office Coordination
• Coordinate day‑to‑day office operations, serving as a primary administrative contact
• Manage incoming and outgoing email, phone, courier, and mail
• Maintain office inventory and coordinate ordering of supplies
• Coordinate records management and file organization (digital and physical)
• Assist with email distribution lists and database updates
• Assist with accounts payable and receivable entries in Quickbooks Online
Administrative & Executive Support
• Provide administrative support to the President and SMA staff
• Schedule meetings, manage calendars, and coordinate meeting logistics
Travel, Logistics & Bookings
• Coordinate hotel and vehicle bookings for staff
• Manage confirmations, itineraries, and related documentation
• Support logistical planning for meetings, conferences, and workshops
Other Responsibilities
• Coordinate name tags, registration materials, and other event supplies
• Support special projects and administrative initiatives as assigned
Qualifications & Experience
• Minimum 2–3 years of administrative or office coordination experience
• Post‑secondary education in office administration or related experience is an asset
• Highly organized and detail-oriented
• Demonstrated ability to manage multiple priorities independently
• Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
• Proactive and resourceful
• A strong communicator with excellent interpersonal skills
• Flexible and comfortable working in a small-team environment
• Committed to providing professional and responsive support
• Experience with databases, and Mail Merge is an asset
