This role is based in London, Ontario and requires in-person attendance at the office. Candidates should be currently located within commuting distance or willing to relocate.

About The Role

In this role, you will play a key part in supporting our expanding residential operations. You will manage the administrative functions that keep our properties running efficiently.

Key Responsibilities

  • Oversee day-to-day administrative operations for assigned residential properties
  • Manage leasing documentation, including new leases, renewals, amendments, and terminations, ensuring compliance with policies and legislation
  • Coordinate tenant move-ins and move-outs in Yardi with accurate data entry and workflow updates
  • Partner with Client Accounting and Property Managers to support month-end processes and maintain complete, accurate records
  • Respond to resident inquiries with timely, professional service across phone, email, and in-person interactions
  • Complete administrative tasks including filing, document management, supply coordination, and maintenance requests
  • Provide support across residential and commercial portfolios, with occasional assistance to condo teams (AGMs, budgets, and meeting documentation)
  • Apply knowledge of property management practices, policies, and compliance requirements
  • Participate in ongoing training and development to stay current with industry standards
  • Contribute to continuous improvement by identifying efficiencies and suggesting practical enhancements

Education

  • Diploma or degree in Business Administration, Property Management, or a related field

Experience

  • 3–5 years of experience in residential/commercial property administration, ideally within mixed-use portfolios
  • Experience in a client-focused, third-party management environment
  • At least 1 year in a senior or lead administrative capacity
  • Proven ability to work independently while collaborating across departments
  • Experience supporting team performance and coordinating workflows across different stakeholders

Skills & Competencies

  • Proficiency in Yardi and Microsoft Office (Outlook, Word, Excel)
  • Strong organizational and time management skills
  • Clear, professional communication with a customer-focused approach
  • Sound judgment and problem-solving ability

Preferred Qualifications

  • Knowledge of the Residential Tenancies Act and property management best practices
  • Professional designations (e.g., RCM, ARM, CPM) are considered an asset
