THE ROLE

The Administrative Assistant – Soldier On organizes, administers and assists with the delivery of the Soldier On program and assist Soldier On staff with organizing travel and event such as accommodation and travel arrangements, processing travel claims, booking rental vehicles and other travel or event related matters.

The incumbent provides administrative support to Soldier On including inputting data into the database, verification of eligibility, preparing supporting documentation, mailing, and calendar maintenance and monitors the Soldier On positional mailbox; responds to queries where possible and/or re-direct to appropriate Soldier On staff. The incumbent verifies, obtains proper approval, forward invoices/financial documents to accounting for processing and file accordingly.

QUALIFICATIONS NEEDED

Education, Certifications and Licenses

High School diploma AND several years of experience in office administration or in a related field

In office administration

In proofreading and editing

In data entry, data manipulation, record-keeping and retrieval techniques

In maintaining filing systems

In invoice processing

In drafting correspondence and reports

In making travel arrangements and processing travel claims

In organizing meetings, events and conferences

In designing, updating and maintaining electronic reporting forms

In minute taking and transcribing notes

In conducting research

LANGUAGE REQUIREMENTS

Bilingual (English and French) Essential

Reading: Advanced

OTHER INFORMATION

This is a hybrid position with an assigned work location allowing the employee to work partly from a corporate office and partly from a home office in accordance with the CFMWS Flexible Work Options Policy, and with approval from the direct manager.
