Location: Quispamsis, NB

Hours: Monday to Friday, 8:30 AM – 4:30 PM (Some overtime required for scheduled evening/weekend member events)

Position Summary

We are seeking a process-driven, analytical, and highly organized Operations & Business Analyst. This unique hybrid role blends data analysis, project management, and operational execution. You will split your time between driving process improvements, analyzing member engagement data, managing high-profile member events, providing critical governance support to our committees, and supporting the CEO.

Key Responsibilities

Data Analysis, Process Improvement & Brand Strategy

  • Data & Insights: Analyze member data, survey results, and communication metrics to provide actionable insights that help optimize our member services.
  • Brand & Marketing Analytics: Work hand-in-hand with our Marketing Committee to evaluate the impact of promotional campaigns and implement strategies to elevate our organizational brand.
  • Process Optimization: Review existing administrative workflows and operational procedures to identify efficiencies and implement best practices.
  • Member Communications: Utilize Canva and digital tools to design and deploy data-informed quarterly member newsletters, limited social media content, and urgent member broadcasts.

Project & Event Management

  • Annual Conference & Major Events: Apply project management frameworks to act as the lead coordinator for our flagship annual conference—managing timelines, tracking budgets, and ensuring seamless execution.
  • Annual Golf Tournament: Lead the operational planning, vendor tracking, and logistical execution of our highly anticipated annual golf event (a multi-month project).
  • Stakeholder Coordination: Schedule and coordinate structured regular meetings with real estate office managers and regional town hall meetings.

Governance & Executive Support

  • Board & Committee Support: Coordinate logistics for Committee meetings, prepare data-backed agendas, and accurately record and distribute official meeting minutes.
  • Executive Assistance: Provide high-level administrative and project support to the CEO, including managing strategic calendars, tracking action items, and preparing executive documents.

Office Operations & Administration

  • Facilities Coordination: Maintain a clean, welcoming, and organized office environment (including coordinating with office cleaners).
  • Office Supplies: Keep the office running smoothly by managing inventory, tracking operational usage, and restocking essentials (from stationery to coffee and milk).

Qualifications & Skills

  • Experience: 3+ years of experience as a Business Analyst, Project Coordinator, Operations Specialist, or a highly technical Executive Assistant.
  • Analytical Mindset: Strong proficiency in data analysis, process mapping, and leveraging data to back up operational decisions.
  • Project Management: Proven experience managing projects from planning to execution, with the ability to handle logistics for both small committee meetings and large-scale conferences.
  • Technical & Design Skills: Advanced proficiency with data/office tools (Microsoft Excel, Word) and familiarity with Canva to build clean, professional materials.
  • Communication Mastery: Exceptional written and verbal communication skills, with a sharp eye for precision when drafting board minutes and member broadcasts.
  • Industry Knowledge: Familiarity with the Real Estate industry or professional associations is considered a strong asset.
  • Interpersonal Vibe: A collaborative, team-first attitude. You are approachable, consultative, and comfortable interacting with entrepreneur members, committee volunteers, and executives.
