The Opportunity
The Project Coordinator plays an important role in supporting the transition of the EL&P department into a Municipally Controlled Corporation. Reporting to the Project Lead, this mid-level position is responsible for managing project logistics, monitoring project progress, tracking deliverables, and coordinating workstreams across a complex, multi-stakeholder environment. The Project Coordinator ensures that project activities remain on schedule and within budget, that risks and interdependencies are proactively identified, and that key information flows efficiently across the project team including the Project Lead, Functional Leads, external advisors, and other project team members.
The ideal candidate brings a strong analytical mindset and a keen attention to detail, with the ability to synthesize information, identify issues early, and develop practical solutions in a dynamic and evolving project environment. This role demands a high degree of organizational discipline, as well as the adaptability to manage shifting priorities and competing demands without compromising the integrity of project timelines or deliverables. The Project Coordinator must be comfortable operating under pressure, exercising sound judgment, and maintaining a structured and methodical approach to their work as the organization navigates a significant period of institutional change.
Top Key Responsibilities
- Project Planning & Control: Support project planning and scheduling, lead project controls, monitor interdependencies, and escalate risks or delays.
- Schedule, Progress & Deliverables Tracking: Maintain schedules, milestones, action items, and deliverables using the Capital Edge tool; ensure quality standards are met.
- Reporting & Decision Support: Prepare status reports, dashboards, briefs, and presentations; document decisions, assumptions, and lessons learned.
- Risk, Issue & Budget Tracking: Identify and track risks, issues, mitigation plans, and maintain project budget reports.
- Stakeholder Coordination & Communication: Facilitate cross-functional coordination, meetings, workshops, and timely follow-up on actions.
- Administrative & Logistical Support: Manage calendars, files, meetings, onboarding, training sessions, and overall project organization.
- Health & Safety Compliance: Comply with and support organizational health and safety policies and programs.
As our preferred candidate, you will have
- University degree with a major concentration in Business Administration, Commerce, Economics, Engineering, Urban Planning, Public Administration, or a related analytical field.
- Project Management Professional (PMP) designation or formal project management training is considered an asset.
- Minimum of three to five years' experience in the following:
- Project coordination or project management, preferably on multi-workstream or complex projects
- Tracking and monitoring project schedules, deliverables, budgets, and risks
- Preparing status reports, dashboards, and summaries for senior stakeholders
- Coordinating across multiple teams or workstreams in a cross-functional environment
An equivalent combination of other education and relevant experience will be considered.
- Occasional attendance and involvement required during evening and weekend hours throughout the year.
- Ability to write policy and research briefs, and occasionally major research projects.
- Ability to track and manage multiple streams of works and priorities and provide updates and reports on progress.
- Ability to manage competing deadlines and priorities, and mitigate impacts.
- Required to work independently, while keeping the goals of The City, the Division, the Department, the Section and other sectors of the community always in mind.
- Attention to detail of multiple simultaneous lines of work.
- Required to work in occasional situation of high intensity where there might be strong opinion and/or displeasure from either the staff of the group or Council.
- Required to sit for prolonged periods of time
- Required to travel using own vehicle.

Remuneration
$39.28 to $41.59 per hour.
Hours of Work
75 hours biweekly, Monday to Friday. Some evening and weekend work may be required.

The term of this position is anticipated to be approximately 2 years.
