LK Psychotherapy & Clinical Services is seeking a highly organized, proactive, and detail-oriented Services Coordinator to support the daily operations of our growing private practice. Position Overview

The services Coordinator serves as the operational backbone of the practice, supporting client intake, service coordination, therapist support, billing processes, support group facilitation, and administrative functions. This position works closely with the Clinical Director to ensure the smooth delivery of services and a positive client experience.

This is a contractor position offering flexibility and primarily remote work, with occasional in-person meetings or events as needed in Belleville, Ontario.

Responsibilities

Client Intake & Service Coordination

  • Respond to client inquiries in a timely, professional, and compassionate manner
  • Conduct intake calls and gather relevant client information
  • Match clients with appropriate therapists and services
  • Manage waitlists and referral processes
  • Coordinate scheduling and follow-up communications
  • Monitor client onboarding and ensure a seamless intake experience

Therapist & Clinical Support

  • Provide administrative support to therapists
  • Assist with therapist onboarding and orientation processes
  • Coordinate clinical meetings and communications
  • Ensure clinicians have access to necessary resources and information
  • Support implementation of practice policies and procedures
  • Monitor operational needs and proactively identify solutions

Support Group Facilitation

  • Facilitate psychoeducational and support groups as assigned
  • Assist with participant registration and coordination
  • Support development and delivery of group programming
  • Maintain attendance records and participant communications

Billing & Claims Administration

  • Process client payments and maintain billing records
  • Support insurance claims and reimbursement processes
  • Follow up on outstanding invoices or billing concerns
  • Maintain accurate financial documentation
  • Ensure compliance with privacy and record-keeping standards

Administrative Support

  • Manage emails, documentation, and client records
  • Support marketing and community outreach initiatives as needed
  • Prepare reports and track key operational metrics
  • Assist the Clinical Director with administrative and operational projects
  • Contribute to the development of systems and workflows that improve efficiency

Qualifications

Required

  • Diploma in Social Service Worker (SSW) or equivalent human services diploma
  • Current registration in good standing with the Ontario College of Social Workers and Social Service Workers (or planning to register)
  • Minimum 1–2 years of experience in a social services, healthcare, mental health, or community support setting
  • Strong understanding of client-centered and trauma-informed practices
  • Excellent written and verbal communication skills
  • Proficiency with Google Workspace and cloud-based systems
  • Ability to maintain strict confidentiality, Ethics and professional boundaries

Preferred

  • Experience working in private practice, mental health, or healthcare settings
  • Experience facilitating support groups
  • Familiarity with electronic health records and practice management software
  • Knowledge of insurance billing and claims processes
  • Experience working independently in a remote environment
  • ASIST and/or Mental Health First Aid Trained

Compensation & Schedule

  • Contractor Position
  • $22–$25/hour, based on experience
  • 25-30 hours per week to start – may vary week to week
  • Opportunity for increased hours as the practice continues to grow
  • Flexible scheduling
  • Primarily remote work with in-person capacity in Belleville, Ontario
